About you

We are seeking a Personal Assistant to provide confidential and administrative support to the Australasian Infrastructure Leader.
To be successful in this role you will have:

Experience as a PA at senior executive and team level preferably in a professional services environment
Advanced Microsoft Office skills
The ability to handle sensitive information with tact and strict confidentiality
Initiative and the ability to work independently

Ability to remain positively motivated and foster team spirit at times of significant pressure, including assisting others to meet deadlines;
The ability to take a lead role in a variety of tasks and activities with the ability to diagnose problem areas of work, improve processes and practices and manage stakeholders to make appropriate changes;
Willingness to learn new skills with attention to detail, as such your resume is going to tell me what your favourite movie of all times is (if you have one, and why it’s your favourite) in the subject line or first paragraph.

About the role
The primary focus of this role is to provide support which includes the planning, organisation and coordination of tasks and functions performed by the Leader and senior team members. It also includes an element of support to the management team of Arup together with attending to other staff needs. This role provides an initial point of contact, information and coordination of communication for both internal and external clients and staff.

The role requires a broad skill base, and a high degree of problem solving, flexibility and professionalism. The role requires literacy in finance and commercial matters. It also requires strong interpersonal and relationship building skills.
In this role you will:
Deliver confidential and high quality, administrative, commercial and secretarial support to the Leader and other staff (as required) including, but not limited to, producing documents, presentations, researching and gathering information and authoring non-standard letters, reports and other documentation.
Be the first point of contact for all persons seeking the Infrastructure Sector Leader, both external and internal clients, using your discretion in redirecting queries to appropriate other responsible staff, if it is not for the immediate attention of the leader.
Be expected to take a leading role in the Infrastructure Business Administration team, both locally and across the region, to ensure there is effective support and guidance to meet the needs of the Group
Liaison with senior staff including executive team and Board members regionally and globally to ensure timely delivery of information required to meet internal and external (client) deadlines and priorities.
Proactively coordinate and prioritise projects and actions requested of the Australasia Infrastructure Leader by others.

Creatively manage diaries, including flexibility in adjusting schedules to meet priority situations.
Plan and arrange meetings, including follow-up with expected attendees to ensure adequate preparation and ensuring agenda and minutes are correctly prepared.
Arrange international and domestic travel
Be accountable for defined parts of the commercial, administrative and secretarial support to the group at local and regional level.
