Events Coordinator/Senior Events Coordinator
Employment status: Full Time Permanent Job number: 3895
Hey you!
Want to help deliver Western Australia's most iconic fun run?
We're looking for an organised, hands-on events professional to join genU's Events Team as an Events Coordinator or Senior Events Coordinator (dependant on experience).
Chevron City to Surf for genU has been part of Perth life for more than 50 years. In this role, you'll help plan and deliver it, along with genU's other fundraising, community, and internal events across Western Australia. Right now, that means three City to Surf events (Perth, Karratha, and the Virtual Run), plus events such as genU's charity golf day and Big Day Out, with opportunities for new events in the future.
Working with operations partners, suppliers, volunteers, and stakeholders across genU, you'll look after the details that make event day work, from registration and timing to merchandise and signage, and help create a memorable experience for every participant. There's nothing quite like seeing thousands of people cross the finish line and knowing you helped make it happen.
This role suits an events professional who enjoys hands-on delivery, stays calm in a fast-paced environment, and takes pride in getting the details right. We're open to appointing at Events Coordinator or Senior Events Coordinator level, depending on your skills and experience.
Every dollar raised through City to Surf provides support to Australians living with disability, so your work makes a real difference beyond event day.
What you'll do:
- Coordinate the planning and delivery of events, working closely with operations partners and stakeholders to ensure activities, timelines and event logistics run smoothly.
- Manage key event administration, including participant registrations, team entries, bibs, merchandise, signage and participant enquiries.
- Liaise with a broad range of stakeholders, including local government, volunteers, medical teams, suppliers and vendors, to support successful event outcomes.
- Support participant and volunteer engagement through event communications, volunteer rostering, briefings and collaboration with the marketing team.
- Assist with event budgeting and administration, including expense tracking and invoicing, while contributing to post-event reviews and continuous improvement initiatives to enhance the participant experience and drive event growth.
At Senior Events Coordinator level, you'll also take day-to-day responsibility for event operations and the volunteer program, help shape the participant experience, and support other team members.
What you'll bring:
- Qualifications in events, business, communications or a related discipline (or equivalent experience), with 2+ years' event operations experience; 5+ years required for Senior-level consideration.
- Proven experience coordinating complex events, managing registrations and participant enquiries, and delivering exceptional customer experiences while balancing multiple priorities and deadlines.
- Strong stakeholder engagement skills, with the ability to build effective relationships across suppliers, contractors, volunteers, community partners and other key stakeholders.
- Sound administration and financial management capabilities, including expense tracking, invoice processing, CRM systems and Microsoft Office proficiency, supported by exceptional organisation and attention to detail.
- Positive, adaptable and hands-on approach, with willingness to work flexible hours, undertake physical event duties and travel when required; experience in mass participation events, the sport or not-for-profit sector, and platforms such as Asana or Race Roster will be highly regarded, along with risk management, permits and team leadership experience for Senior-level applicants.
(You'll also need an NDIS Worker Screening Check and Orientation Module Certificate - but don't worry, we'll help guide you through this.)
