About us
Sharehouses Australia provides furnished shared accommodation across Sydney. We manage the process from setting up new houses and welcoming residents to keeping properties clean, maintained and running smoothly.
We’re looking for a practical, reliable Head of Operations who can take ownership of what happens on the ground as we grow.
The role
You’ll keep our properties in good condition, resolve operational issues and coordinate new-house setups. You’ll work closely with the founder and our customer service team to turn reported issues into completed jobs.
This is an active role involving property visits, coordinating contractors, checking work and handling practical tasks yourself where appropriate.
Your responsibilities
Property maintenance and inspections
- Visit properties regularly to check cleanliness, maintenance, furniture and common areas.
- Identify problems early and prioritise repairs based on urgency.
- Complete minor maintenance tasks within your skills and arrange qualified tradespeople when required.
- Obtain quotes, coordinate access and check that work is completed properly.
- Keep explicit records of issues, costs and completed work, including photos where useful.
New-house setups
- Coordinate furniture deliveries, removals, assembly, cleaning and property preparation.
- Track what each house needs and organise approved purchases.
- Work to agreed budgets and deadlines so rooms are ready for incoming residents.
- Complete a final readiness check before residents move in.
Cleaning and contractor coordination
- Coordinate cleaners, removalists, handymen and tradespeople.
- Check the quality of their work and follow up on anything outstanding.
- Monitor supplies and arrange replacements when needed.
Resident and team support
- Work with customer service to resolve maintenance requests and property issues.
- Coordinate access for repairs, inspections and deliveries.
- Communicate respectfully with residents and keep the team updated on progress.
- Escalate urgent safety concerns and decisions requiring approval promptly.
Planning and accountability
- Maintain a weekly task list covering urgent jobs, routine maintenance and upcoming setups.
- Manage your schedule across multiple properties.
- Provide a concise weekly update on completed work, outstanding issues and expected costs.
- Suggest practical ways to reduce recurring problems and improve property standards.
What we’re looking for
- Experience in property operations, facilities, maintenance, accommodation or a similar hands-on role.
- Strong organisation and the ability to manage several jobs at once.
- Practical problem-solving skills and attention to detail.
- Confidence coordinating contractors and checking their work.
- Clear communication and reliable follow-through.
- A valid driver’s licence and access to a reliable vehicle.
- Confidence using WhatsApp, shared task trackers and property management systems.
- Capacity to consistently cover the agreed weekly hours and support busier setup periods with advance planning.
Basic handyman skills, furniture assembly experience and experience with sharehouses or accommodation businesses would be valuable.
What success looks like
Properties are well maintained, residents receive timely help, and jobs are completed without repeated follow-up. New houses open on schedule, spending stays within approved budgets, and the team always knows what is happening.
