- Manage budgets for vehicle purchases, sales and rentals, track income per vehicle and monitor company expenses.
- Oversee the company's entire vehicle fleet, including vehicle allocation, road-readiness, registration and compliance.
- Liaise with workshops, insurance companies and repairers, compare quotations and negotiate cost-effective outcomes.
- Coordinate professionally with suppliers and service providers via email and maintain transparent written records.
- Handle customer inquiries and complaints, and manage all rental documentation and agreements.
- Use RDB (Rental Database) software for inventory tracking, driver profile setup, documentation and cost calculations, and Xero for income and expense tracking.
- Train and guide new staff and drivers on company procedures, vehicle handover processes and RDB software.
- Ensure vehicles meet road-worthiness, registration and insurance requirements, follow WHS procedures and develop vehicle inspection checklists.
- Identify and manage business risks, including vehicle damage, unpaid rent and breakdowns, and implement preventive measures such as scheduled servicing, inspections and payment controls.
