At Malu Health, we’re on an exciting journey of growth and we’d love for you to be a part of it.
Our vision is to help transform mental health care across Australia by building a pioneering network of exceptional psychology clinics. Clinician-led care sits at the centre of what we do. It’s grounded in trust and respect, and brought to life through a collaborative culture where both clients and staff can thrive.

The Opportunity
We’re looking for an experienced, collaborative and agile Client Services Coordinator for a permanent full time position in our Crows Nest clinic - Wise Institute.
Wise brings together a number of well‑respected Psychologists and an amazing administration team through Malu. This beautiful clinic - with a sunlit balcony - is close to public transport, cafes and local shops.
We are looking for a senior, hands‑on client services and administration wizard to support this team. You’ll oversee:
- efficient client access and reception function,
- making sure every client enquiry gets a prompt response,
- intake processes are running consistently,
- diaries are managed accurately,
- and the administrative team performs to a high standard.
This isn’t a desk‑bound management position. You’ll spend about a third of your time sharing phone coverage with the Intake Coordinator: answering calls, conducting intakes and providing full reception cover when the Intake Coordinator is away. The rest of your time goes to team leadership, clinic operations, process improvement,
working with the Clinic Lead and central Malu teams in Operations, Finance, IT, and People ensuring the practice is integrated effectively into the Malu community.
What You’ll Bring
- 3+ years’ experience as a practice administrator in medical or allied health (psychology clinic experience ideal)
- Experience as a team lead or trainer (ideal)
- Strong organisational skills in diary management, multitasking and prioritising
- Confidence with systems in general, particularly health practice management systems and Microsoft
- Working knowledge of healthcare billing, payments and debtor workflows (Medicare and NDIS knowledge preferred)
- Malu Health and Wise are growing, with more clinics in NSW in the pipeline - this role has a pathway into opportunities group-wide.
Why You’ll Love Working at Malu
At Malu Health, we believe in taking care of our people as much as we care for our clients. Here are some of the ways we support staff at work:
- Extra leave: an extra 2 weeks’ paid leave plus 5 wellbeing leave days
- Energy bill discounts and EV subscription: through our partnership with Origin Energy
- Social purpose: stability and purpose in a client‑facing, business‑critical role
- Career pathway: a role designed to grow into practice management
- Staff referral bonuses: rewarding you for connecting us with good people
- A collaborative team: supportive colleagues and a growing network, with opportunities to broaden your scope over time
If you’re looking for meaningful work in an environment that cares for you too, you’ve found the right place.
