Ultimate Security Australiais seeking a highly organised and proactive Service Dispatch Coordinator to join our growing team. This role is responsible for coordinating service technicians, managing work orders, scheduling maintenance and installation jobs, and ensuring exceptional customer service delivery across our security operations.

About the Role

As the Service Dispatch Coordinator, you will act as the central point of contact between clients, technicians, suppliers, and internal departments. You will be responsible for ensuring service requests are efficiently allocated, scheduled, monitored, and completed within agreed timeframes.

Key Responsibilities

- Receive and manage incoming service requests via phone, email, and customer portals.
- Create and manage work orders, from initial request to final completion
- Schedule and dispatch Ultimate Security technicians and subcontractors with precision
- Keep customers in the loop on job progress and outcomes
- Maintain service records, customer portals, and related documentation
- Process invoices, approve subcontractor payments, and handle credit card transactions
- Respond to enquiries, resolve service issues, and conduct customer satisfaction surveys
- Report safety incidents and follow emergency protocols
- Ensure all actions align with company policies and compliance standards

Skills & Experience

- Excellent time management and organisation – you thrive when things are busy
- Experience in industries such as electrical, data communication and air conditioning, HVAC, electronic repairs and maintenance of major tech-brands
- Professional communication skills,



both over the phone and via email
- A natural customer-first mindset
- Sharp attention to detail and accuracy
- Strong coordination and problem-solving abilities
- The ability to work independently while being a great team player
- Confidence with MS Word, Excel, and Outlook
- SimPro experience and knowledge of security products (CCTV, Access Control, Alarms) is a bonus – but not essential
- A proven track record of staying calm and professional under pressure
