About Neuro Alliance
Neuro Alliance is a multidisciplinary allied health organisation providing support and services to people living with neurological conditions and other complex health needs.
Our team works collaboratively to support our clients to achieve their goals and improve their quality of life. We are passionate about providing high-quality services in an environment that is welcoming, inclusive, respectful and person-centred.
We are looking for a friendly, reliable and enthusiastic Junior Administrative Assistant to join our team and help create a positive first impression for everyone who walks through our doors or contacts our service.
About the role
This is an excellent opportunity for someone looking to develop their administrative and customer service skills in a supportive healthcare workplace.
Working at our front reception, you will be one of the first points of contact for our clients, their families and support people, referrers, clinicians and external service providers.
You will help ensure our reception runs smoothly, our switchboard is managed efficiently and everyone who interacts with Neuro Alliance feels welcomed, respected and supported.
We are looking for someone with a positive attitude, strong communication skills and a willingness to learn. You do not need extensive healthcare administration experience. We can teach you our systems and processes; what matters most is your approach to customer service, attention to detail and willingness to follow established policies and procedures.
Key responsibilities
- Provide friendly, professional and inclusive reception services to clients, families, visitors and referrers.
- Manage front reception and a busy switchboard, including greeting visitors, directing calls, taking accurate messages and responding to routine enquiries.
- Assist with appointment enquiries,
general administration and day-to-day office tasks.
- Complete accurate data entry and maintain client records using practice management systems.
- Follow established policies and procedures, maintaining confidentiality and handling sensitive information appropriately.
- Support reception organisation, opening and closing procedures, and work collaboratively with the administrative team and clinicians to ensure the smooth operation of the service.
About you
We are looking for someone who enjoys helping people and takes pride in providing a positive customer experience.
The ideal candidate will demonstrate:
- A friendly, welcoming and qualified manner, with strong communication skills.
- A patient, respectful and inclusive approach when interacting with people from diverse backgrounds and abilities.
- Good attention to detail, organisational skills and the ability to manage competing priorities.
- Confidence using computers and a willingness to learn new systems and software.
- The ability to follow instructions, policies and procedures accurately.
- Reliability, initiative and a willingness to ask questions and learn.
- A positive attitude and the ability to work both independently and as part of a team.
Essential requirements
- Previous experience in customer service, reception, retail, hospitality or another people-focused role.
- Clear and effective communication skills.
- Basic computer skills and a willingness to learn new systems.
- Demonstrated reliability, attention to detail and a willingness to follow procedures.
- A commitment to maintaining confidentiality and treating people with dignity and respect.
Desirable, but not essential
- Previous reception or switchboard experience.
- Experience in healthcare, disability, community services or a similar setting.
- Familiarity with appointment booking or client management systems.
We welcome applications from candidates early in their administrative careers. We value attitude, potential and a genuine commitment to providing excellent service just as much as previous experience.
Employment details
- Employment type: Full-time, ongoing.
- Ordinary hours: Monday to Friday, 9:00 am to 5:00 pm.
