We're looking for an Administration Manager to join us at our Head Office in Acacia Ridge, and help keep the business running smoothly. This role has real pace to it. Hail season brings a big ramp-up in a short time, and when it arrives everyone pitches in.
If you enjoy a busy environment and like knowing your work makes a difference, you'll fit right in. You'll be someone who genuinely enjoys detail. You'll take satisfaction in finding the invoice that slipped through, matching up the parts, and making sure nothing is missed.
You'll also be a team player at heart. This is an admin role, but when the workshop is flat out and something needs doing, even sweeping the floor, you'll be happy to lend a hand.
Key responsibilities
- Invoicing and following up outstanding payments
- Reconciling parts and accounts
- Managing sublet invoices
- Uploading quotes to insurer and client portals
- Helping clients resolve invoice queries
- Monitoring workshop and admin system tasks
- Running staff meetings
- Representing PHMS at client meetings as required
- Helping set up emergency repair sites and train the teams there
- Setting up new starters and helping them settle in
About you
- Experience with iBodyshop and Xero (preferred)
- A background in smash repair, motor vehicle or insurance repair admin (highly regarded)
- Solid attention to detail, especially when it comes to invoicing
- A proactive, solutions-focused approach
- Good problem-solving skills and a calm head when things get busy
- A friendly, professional manner with clients and colleagues
- A willingness to roll up your sleeves and help wherever it's needed
