About the role

Our Book Keeper manages the operational finances using Xero, specialising in high-volume transactions for quarrying materials (aggregates, road base, sand, and soil). This role manages a rapid-paced weekly operational cycle, ensuring weekly payroll for site crews is compliant, and heavy haulage delivery dockets are matched, costed, and invoiced weekly to maintain strong business cash flow.

Key responsibilities

- Reconcile weekly data, physical delivery dockets, and bulk freight run sheets

- Generate and issue weekly commercial invoices in Xero for sand, aggregates, and road base supplies

- Match and verify third-party cartage and transport subcontractor invoices against weekly material dispatches

- Process weekly payroll in Xero for quarry operators, staff, and heavy vehicle truck drivers

- Audit weekly timesheets against the Quarrying Award, accurately applying overtime, site allowances, and tool allowances

- File Single Touch Payroll STP Phase 2 reports weekly immediately following payment distribution

- Complete daily and weekly bank reconciliations in Xero, applying automated bank rules for recurring fuel, site maintenance, and explosive expenses

- Track weekly fuel burn logs and compile data required for off-road Fuel Tax Credits (FTC)

- Manage strict weekly debtor tracking to minimise ageing accounts receivable from commercial construction clients

- Close out weekly operational ledgers to provide the Quarry Manager with precise weekly cash flow, material sales, and expenditure reporting

About you

- 2+ years of bookkeeping experience, including high-volume invoicing and data entry

- Advanced proficiency in Xero, with a proven track record handling fast-paced weekly payroll cycles

- Experience interpreting Modern Awards to calculate overtime, penalties, and allowances

- Strong Excel skills and experience utilising digital record and receipt management

- Experience in quarrying, civil earthworks, or heavy logistics, with working knowledge of material tonnages, stockpiles, and cartage fee structures (desirable)

- Xero Advisor or Payroll Certification (desirable)

- Experience with the Quarrying Award or similar heavy machinery and transport awards, and with off-road diesel usage reports for Fuel Tax Credit processing (desirable)

- Experience with My Trucking or similar haulage tracking software that exports data into Xero (desirable)
