Champagne Recruitment

Adelaide

Keep builders’ inspections on track and inspectors’ days running to plan.

Champagne Recruitment is working with House Inspect Australia to find their new organised, switched-on coordinator to look after the scheduling of its builder and B2B inspections. You’ll be the person builders contact when an inspection needs booking, moving or confirming, and the person who makes sure each inspector’s day is realistic and well planned.

It’s a hands-on administration role with plenty of variety. Scheduling is the core of it, but you’ll also support the wider admin team, so it suits someone who likes being busy, enjoys keeping things in order and takes pride in getting the detail right.

About House Inspect Australia

House Inspect Australia is a South Australian building and pest inspection business. Its inspectors are licensed builders who carry out pre-purchase, stage, handover (practical completion) and pest inspections for homebuyers, homeowners and builders across Adelaide. The business is a member of the HIA and Master Builders Association.

About the role A typical day starts with builder SMS reminders and a check of the Builders inbox for reschedules and urgent call-ups. From there you’ll:

· Book and schedule builder inspections in AroFlo, taking into account inspector availability, location, travel time, site readiness and builder timeframes

· Reschedule promptly when site readiness or availability changes, and flag clashes early with a suggested fix

· Follow up unconfirmed bookings, agreements, documentation and expected inspection stages

· File the previous day’s reports, complete and archive jobs, and prepare invoices and quotes

· Prepare and issue Certificates for pre-handover inspections

· Keep job notes clear and complete so anyone in the team can pick up a job and know where it’s at

· Answer phones, emails and booking enquiries, and help cover Retail, Stages and Pest admin during busy periods or leave

· Spot recurring issues or double-handling and suggest better ways of doing things

Your priorities will always be booking in jobs (including builder call-ups), invoicing and quoting, and answering calls. You’ll report to The Business Excellence Manager and work closely with the inspectors, the admin team and the builders and construction coordinators House Inspect Australia works with.

Success in this role looks like: inspections booked accurately with realistic travel and inspection times, the inbox actioned throughout the day, follow-ups managed without needing to be chased, and AroFlo always reflecting where every job is up to.

Be aware that priorities can shift during the day and you’ll be asked to help in other areas when needed. If you prefer a role where the work stays the same every day, this probably isn’t the right fit.

You will bring

· Experience in scheduling, coordination, customer service or administration

· Experience juggling competing priorities and deadlines in a high-volume admin role

· Experience with invoicing, quoting, and a CRM or job management system

· Confidence liaising professionally with builders, clients and internal teams

· Strong attention to detail and solid Microsoft Office skills (Outlook, Word, Excel)

· A proactive, reliable approach: you take ownership of your workload, own up to mistakes and help fix them

It would be advantageous if you also have

· Experience in the property, construction or building inspection industry

· Familiarity with AroFlo, Monday.com or similar systems

· Experience documenting or improving admin procedures

No formal qualification is required.

What’s on offer

· Salary review at the end of the six-month probation period

· Structured training in your first two weeks, plus cross-skilling into other parts of the business

· Permanent, full time employment.
