Key Responsibilities

- Prepare and maintain service-specific policies, procedures and risk assessments that reflect each service's unique environment, activities and operational requirements.

- Ensure documentation aligns with the National Quality Framework (NQF), National Quality Standard (NQS), relevant legislation and child safety requirements.

- Maintain policy review schedules, document registers, version control and records of updates.

- Monitor changes to relevant legislation, regulations and sector guidance, identifying updates required to organisational documentation.

- Collaborate with the Compliance Manager and service leaders to identify hazards, assess risks and develop appropriate control measures.

- Support the communication and implementation of updated policies, procedures and risk assessments across services.

- Contribute to continuous improvement initiatives that strengthen child safety,

risk management and consistency across the organisation.

Vacation Care Planning & Coordination

- Lead the centralised planning, preparation and coordination of Vacation Care across our 10 OSHC services.

- Work collaboratively with service leaders to develop engaging, wide-ranging and age-appropriate Vacation Care activity schedules.

- Coordinate excursion and incursion bookings, external providers, activity arrangements and program schedules.

- Prepare and coordinate required documentation, including excursion risk assessments, parent authorisation forms and activity information.

- Coordinate the purchasing, ordering and distribution of Vacation Care resources and materials.

- Manage supplier communication, booking confirmations, timelines and logistical arrangements.

- Provide practical support and guidance to service teams to ensure they are prepared for each Vacation Care period.

- Ensure relevant planning and safety documentation is prepared and provided to service leaders for review and implementation.

- Review Vacation Care preparation processes and identify opportunities for improvement.

About You

We are looking for someone who enjoys organisation, planning and problem-solving, with the ability to manage detailed documentation while coordinating multiple projects and deadlines.

You will bring:

- Excellent organisational, planning and time-management skills.

- Strong written communication skills and exceptional attention to detail.

- Experience developing,

reviewing or maintaining policies, procedures, risk assessments or operational documentation.

- The ability to coordinate activities, documentation and projects across multiple locations.

- Confidence managing bookings, suppliers, purchasing and logistical arrangements.

- Strong computer skills, particularly Microsoft Office and digital document management systems.

- A proactive approach to identifying problems, developing solutions and improving processes.

- The ability to work independently while collaborating effectively with others.

- A demonstrated commitment to child safety and the ability to embed child-safe principles into policies, risk assessments and operational practices.

Highly Regarded

- Experience working in OSHC or other Early Education and Care settings.

- Knowledge of the National Quality Framework, National Quality Standard and relevant Education and Care Services legislation.

- Experience preparing excursion risk assessments and authorisation documentation.

- Experience coordinating Vacation Care, events, activities or multi-site logistical arrangements.
