About Wingman Recruitment

Wingman Recruitment connects skilled professionals with established Australian businesses. We partner with organisations across various industries, providing recruitment solutions that help businesses build capable, reliable and high-performing teams.

We are currently seeking two experienced Bookkeepers to join a growing finance team supporting an established Australian bookkeeping and financial services business.

About the Role

Our partner provides bookkeeping, financial reporting, BAS lodgement and payroll support to more than 70 recruitment businesses across Australia, New Zealand and the United States.

As a Bookkeeper, you will manage the day-to-day bookkeeping requirements for an assigned portfolio of Australian recruitment agency clients. You will be responsible for maintaining accurate Xero records, processing invoices and supplier bills, completing bank reconciliations, following up on outstanding documentation and preparing monthly end-of-month workpapers.

You will receive structured onboarding and support, with your client portfolio gradually building towards approximately 30 files.

This is a client-facing bookkeeping position requiring strong Australian bookkeeping knowledge, exceptional attention to detail and the ability to manage multiple client accounts independently.

Key Responsibilities

Accounts Payable & Invoice Processing

- Process permanent and temporary recruitment placement payout invoices.
- Enter and manage supplier bills through Hubdoc and Xero.
- Ensure expenses are coded to the correct accounts and GST tax rates.
- Follow up with clients for missing receipts, invoices and supporting documentation.
- Maintain accurate and up-to-date financial records for each assigned client.

Bank Reconciliation & Account Management

- Perform regular bank reconciliations in Xero.
- Reconcile wages payable, bank fees, director loan transfers and other transactions.
- Investigate and resolve unreconciled transactions before month end.
- Assist clients with setting up new bank accounts and credit cards.
- Guide clients through Xero bank feed setup and confirm that feeds are operating correctly.

Month-End Reporting & Workpapers

- Prepare monthly end-of-month workpapers for each assigned client.
- Complete bank reconciliation reports with nil variance.
- Prepare aged receivables and aged payables reports.
- Reconcile accounts receivable and accounts payable to the relevant Xrecruiter file.
- Prepare payroll summaries and match them against gross wages.
- Complete income statements and balance sheets.
- Prepare Fathom Reporting summaries where required.

- Submit completed workpapers to the Senior In-house Bookkeeper for review by the fourth working day of each month.

Client & Partner Support

- Act as the day-to-day bookkeeping contact for assigned Australian clients.
- Respond to bookkeeping queries promptly and professionally.
- Follow up consistently for outstanding receipts and supporting documents.
- Maintain clear and accurate communication with clients.
- Escalate matters outside the scope of bookkeeping to the appropriate internal team.

Data Accuracy & Confidentiality

- Maintain strict confidentiality when handling financial information.
- Ensure client records and documents are correctly assigned and never shared across different client accounts.
- Follow established bookkeeping procedures and internal controls.
- Review your own work to identify and correct errors before submission.
- Maintain accurate records across all assigned client files.

What We're Looking For

- Proven experience as a Bookkeeper supporting Australian businesses.
- Previous experience working for an Australian accounting or bookkeeping firm is highly regarded.
- Experience managing multiple client files or accounts simultaneously.
- Strong practical experience using Xero, particularly accounts payable and bank reconciliations.
- Working knowledge of Australian GST, wages payable and director loan transactions.
- Strong Microsoft Excel skills.
- Excellent attention to detail and accuracy when handling financial records.
- Valuable written English and confidence communicating directly with Australian clients.
- Strong organisational and time-management skills, particularly around month-end deadlines.
- Ability to follow established procedures and work independently.
- A proactive approach to problem-solving, with the judgement to resolve issues or escalate when necessary.
- Able to commit to a full-time role without other employment or study commitments during working hours.

Highly Preferred

- Experience managing a portfolio of 20–30 or more Australian client files.
- Previous experience in an Australian accounting or bookkeeping practice.
- Experience using Hubdoc and Fathom Reporting.
- Xero Advisor Certification.
- Exposure to Australian recruitment, staffing or labour hire businesses.
- Understanding of permanent and temporary recruitment placement transactions.
- Experience preparing monthly financial reports and end-of-month workpapers.
- A bookkeeping or accounting qualification, or currently working towards one.

You'll Thrive in This Role If You Are

- Extremely detail-oriented and particular about accuracy.

- Comfortable managing multiple client accounts and competing deadlines.
- Someone who checks their own work rather than relying on others to identify errors.
- Process-driven and consistent in following established procedures.
- Proactive in identifying and resolving bookkeeping issues.
- Confident communicating with Australian clients and following up when information is outstanding.
- Trustworthy and highly conscious of financial data confidentiality.
- Self-motivated and capable of working independently.

What Success Looks Like
