Project Coordinator
- Transformation Centacare | Brisbane | Hybrid Working | 12-Month Fixed-Term Contract, with strong possibility of extension Keep projects moving. Connect the details. Help transformation land well. Centacare is looking for an experienced Project Coordinator to join our Transformation Team on a 12-month fixed-term contract, with a strong possibility of extension. We’re looking for someone who is warm, approachable and a genuinely strong communicator — someone who enjoys working with people, asks thoughtful questions and is eager to learn. This role sits in an interesting space between being guided by experienced Project Managers and taking real ownership of coordinating complex processes. You’ll have support and direction around you, but you’ll also be trusted to keep work moving, bring structure to multiple workstreams, follow up actions and make sure the detail doesn’t get lost. You’ll be curious, organised and comfortable learning as you go. You won’t be expected to know everything from day one, but you will need the confidence to ask questions, build relationships and gradually take greater ownership as your understanding grows. It’s a excellent opportunity for someone who enjoys being the person who connects people, information and actions — bringing warmth to relationships and discipline to the way projects are coordinated. You’ll need solid project coordination experience, strong working knowledge of at least one project management platform, and strong experience managing project documentation, document control and project repositories. You’ll be someone who understands the importance of having the right document, in the right place, with the right version — and making sure the wider project team can actually find it when they need it. About Centacare Centacare is a purpose-led, not-for-profit organisation supporting individuals, children and families across Queensland. Our people work across a diverse range of community services, providing care, support and practical assistance to people who need it. As Centacare continues to evolve, we’re investing in new systems, technology and better ways of working. Our Transformation Team plays an key role in making sure those projects are planned properly, coordinated effectively and implemented in a way that works for the people who use them. The opportunity As Project Coordinator, you’ll provide practical support across a portfolio of transformation projects. You’ll work alongside Project Managers and stakeholders, helping keep plans current, actions moving, documentation controlled and stakeholders connected. One day you might be coordinating a project meeting, updating actions and timelines and following up on dependencies. The next, you could be maintaining the project repository, checking that key documents are current and correctly stored, preparing project reporting, supporting a system rollout or coordinating communication with impacted teams. The role requires someone who enjoys structure but can also adapt when priorities shift. You’ll need to be comfortable asking questions, following people up and making sure important actions — and important documents — don’t quietly disappear after a meeting. What You’ll Be Doing Your responsibilities will include:
• Supporting Project Managers across transformation,
technology and process-improvement initiatives
• Maintaining project plans, schedules, actions, milestones, project reports and key deliverables
• Coordinating meetings, workshops and project activities
• Preparing agendas, minutes, action registers and project documentation
• Following up actions and helping keep project owners accountable to agreed timeframes
• Managing project documentation throughout the project lifecycle
• Maintaining structured project repositories and ensuring information is current, complete and easy to locate
• Applying valuable document-control practices, including version control, naming conventions, approvals and appropriate access
• Maintaining registers, templates, reports, decisions and other key project artefacts
• Ensuring project records are stored consistently and in accordance with agreed governance requirements
• Tracking risks, issues, dependencies and decisions
• Supporting project reporting and status updates
• Coordinating stakeholders across different teams and levels of the organisation
• Using project management software to track work, progress and priorities
• Supporting system implementations, new platforms and organisational change initiatives
• Helping develop and coordinate internal project communications
• Creating and maintaining project-related SharePoint content
• Preparing presentations, updates, FAQs and briefing material where required
• Supporting multiple workstreams and adapting as project priorities change About You You’re an experienced Project Coordinator who likes bringing order to moving parts. You’re comfortable with timelines, actions, dependencies and documentation, but you also understand that successful projects depend on relationships and communication. You’re naturally organised and take pride in maintaining project information properly. A messy repository, multiple versions of the same document or an important approval sitting somewhere in an email chain will probably bother you — in a good way. You don’t wait until something becomes overdue before asking what’s happening. You follow up, keep people informed and help the Project Manager maintain momentum. You’ll Ideally Bring
• Demonstrated experience in a Project Coordinator, Project Officer or similar project delivery role
• Practical experience supporting projects from planning through to implementation
• Strong working knowledge of at least one recognised project management software platform
• Strong experience managing project documentation and document repositories
• Experience establishing or maintaining document-control processes, folder structures, naming conventions and version control
• Confidence working with SharePoint or similar document management/repository platforms
• Experience maintaining project plans, action registers, risk and issue registers, decision logs, schedules and project artefacts
• Confidence coordinating multiple workstreams, deadlines and competing priorities
• Strong stakeholder coordination and follow-up skills
• Experience preparing project reports, meeting documentation and status updates
• Excellent organisation and attention to detail
• Strong written and verbal communication skills
• Confidence working with stakeholders from operational teams through to senior leaders
• The ability to work independently and take ownership of agreed actions
• A proactive approach — you notice what needs to happen next and help make it happen Experience supporting technology implementation, system change or broader organisational transformation would be particularly valuable. We’re looking for someone who understands the bigger picture. Someone who knows that good project governance depends on accurate, accessible and well-controlled documentation. Someone who follows up an action before it becomes a problem. And someone who can sit in a meeting with a Project Manager and senior stakeholders, understand what has been agreed and make sure the next steps actually happen. That practical project discipline will be central to the role. Why join Centacare? This is a newly created role within our Transformation Team, giving you the opportunity to work across a range of meaningful projects and help shape how project coordination is delivered.
• Work across technology, systems and organisational transformation projects
• Gain exposure to different parts of a large and diverse organisation
• Work closely with experienced Project Managers and senior stakeholders
• Build broader project delivery and transformation experience
• Contribute ideas and improve project processes, governance and ways of working
• Join a purpose-led organisation supporting communities across Queensland
• Enjoy hybrid working arrangements
• Join initially on a 12-month contract, with a strong possibility of extension
