About the Role:
The Administrative Officer provides day-to-day administrative support to ensure all services are provided efficiently to meet the operating needs of the Australian Research Council (ARC) Centre of Excellence for Quality Work in a Digital Age (QWiDA). The role has particular responsibility for the day-to-day maintenance of QWiDA’s central operational database(s), which the Centre relies on to record, track and report on its activities across eight university nodes.

As a member of the QWiDA Operations Team, the Administrative Officer will work closely with node administrators and professional staff across Curtin and the Centre’s university nodes, helping to maintain consistent record-keeping and administrative practice across the Centre’s national network. You will be the main point of contact for node administrators on the collection of KPI and financial data, so accuracy, follow-through and attention to detail are essential.
As a foundational appointment in the Centre’s first year, this role offers the chance to help shape how data is collected and reported across a multi-institution network.

Your responsibilities will include:

- Act as the main point of contact for node administrators for the collection of KPI and financial data, coordinating timelines, following up outstanding returns and maintaining a explicit record of what has been received.
- Maintain the accuracy, completeness and currency of records held in QWiDA’s central database, including data entry, data cleansing and routine quality checks. Escalate complex data discrepancies as required and maintain up-to-date key performance indicator (KPI) records to support Centre, Executive and ARC reporting requirements.
- Work collaboratively with administrative staff across QWiDA’s university nodes to share information, follow consistent administrative practice and facilitate administrative efficiency.
- Provide financial administration support, including raising purchase orders, processing invoices, reconciling credit card expenditure and processing reimbursements in line with university procedures and financial delegations.
- Support the administration of internal funding schemes, including collating applications, tracking progress and processing payments.
- Support the administration of recruitment, onboarding and induction processes for Centre staff, students and postdoctoral researchers, including the maintenance of associated records.
- Support Centre events, workshops, meetings and visitors,

including venue and catering bookings, event advertising, registrations, visitor arrangements, on-the-day logistics and post-event attendee reporting, and assist with website updates and event promotion.
- Other duties as directed, consistent with the classification level of the role.

Who we are looking for:
To be successful in this role, you will have previous experience maintaining data within databases or similar business systems, with a high level of accuracy and attention to detail. You will have a demonstrated ability to collate information from multiple people or organisations and follow up to meet reporting deadlines, along with sound financial administration practices and well-developed communication skills for working with diverse groups across different institutions. You will hold a relevant certificate or diploma-level qualification, or have an equivalent combination of relevant experience and training. Experience in the following areas will be highly regarded:

- Experience working in a university, research institute or multi-institutional research centre environment
- Experience using a low-code database or CRM platform
- Experience supporting research student or research administration processes
- Demonstrated experience in event planning, management and delivery
