ACE Disability Support Services

Labrador

ACE Disability Support Services is looking for an experienced, organised and proactive NDIS Administration & Operations Officer to be the engine room of our business. Reporting to the Directors and supported by a small administration team, you'll keep our operations running smoothly and compliantly. It's a varied, hands-on role for someone who takes pride in getting the detail right and who genuinely enjoys being part of the NDIS, knowing the work you do supports vulnerable people who need it most.

This is largely an office based role. But if you enjoy getting out into the community, we can offer that too — offsite work, social events, and meeting with stakeholders, employees and participants, as well as visiting work sites to make sure best practice is being followed and compliance is maintained.

What you'll be doing

- NDIS management systems — working across our NDIS management system (ideally ShiftCare, though not mandatory) to keep participant and operational data accurate and current. As long as you're willing to learn a new system — or can convince us why yours is better — we're a flexible organisation, happy to adapt to ensure our ongoing success.
- Rostering — ensuring efficient, well-planned rostering and filling gaps to maintain continuity of care.
- Compliance & audit — applying strong knowledge of NDIS compliance and audit processes to keep us audit-ready at all times.
- Shift notes & shift compliance — checking staff shift notes and shift compliance against NDIS standards and participant goals.
- Registers & policies — maintaining company registers, and producing and issuing company policies and procedures.
- Staff training — ensuring staff training is current, appropriate and tracked.
- Action calendar — maintaining a calendar of actions for operational updates, payments and key deadlines.
- Offsite compliance visits — visiting participants, SIL homes and work sites to verify paperwork compliance and provide reports.

- Stakeholder communication — corresponding with participants, families, nominees and stakeholders, and being a first point of contact for phone calls from staff and stakeholders

Skills & experience

- At least 3 years' NDIS administration experience, including compliance.
- Experience with an NDIS management system — ideally ShiftCare, or the aptitude and willingness to master it quickly.
- Solid rostering experience and a knack for efficient scheduling.
- Strong working knowledge of NDIS compliance, the NDIS Practice Standards and audit processes.
- Confident with Microsoft Office (Outlook, Word, Excel) and general office systems.
- Excellent written and verbal communication, and a professional phone manner.
- Highly organised, detail-focused and able to juggle competing priorities to deadline.
- Discreet and trustworthy, with a strong commitment to participant privacy and confidentiality.
- Current NDIS Worker Screening Clearance and Working with Children Check (Blue Card), or willingness to obtain.
- Current driver's licence and reliable vehicle for occasional offsite visits.
- Someone who enjoys being part of the NDIS and finds real meaning in supporting vulnerable people in need.

What we offer

- Salary — a pro-rata salary of $100,000 per annum, available as casual, part-time or full-time, with other benefits available for discussion.
- Flexibility — negotiable flexible working arrangements for the right candidate, including a mix of office and work-from-home, and flexibility around start and finish times (for example, to fit school drop-offs and pick-ups).
- A genuine future — a senior role with a clear long-term future, where your contribution is valued and your efforts are rewarded.
- Support to succeed — a supportive team with dedicated administration support behind you.
- Ongoing development — training to upskill and stay current with NDIS industry trends, policies and procedures.
- Meaningful work — a wide-ranging, hands-on role where what you do makes a real difference to people's lives.

Pay: $60,000.00 – $100,000.00 per year

Work Location: In person
