Moree

Novascape Pty Ltd is a landscaping and grounds maintenance business based in Moree. We look after homes, farms, businesses, strata properties and public sites across the Moree Plains: regular maintenance programs, landscaping projects, lawn care and orchard work. The business has grown quickly this year, and we are creating a full-time Project Administrator role to plan and run our programs of work.

The role

You will plan and administer our maintenance programs and projects, supervise our field staff, coordinate contractors and suppliers, keep the paperwork in order, and report to the Managing Director. The role is based in Moree, with regular trips to client sites across the region.

Your duties will include:

- Planning and scheduling our maintenance programs and projects: which crew, equipment and vehicle goes where each day and week, and adjusting for weather and client needs
- Developing, reviewing and negotiating variations to programs, projects and services with clients (scope, frequency, timing and price), and documenting each agreement
- Answering inquiries and resolving problems from clients, staff, contractors and suppliers
- Managing the paperwork for each program and project: quotes, work orders, job records, purchase orders, client agreements and timesheet records
- Supervising our field staff, who report to you: allocating and directing their work, checking quality and progress on site, running inductions and training, and making sure safety procedures are followed. This is a hands-on role: on site, you lead by example and work alongside the crew on the tools
- Overseeing work by contractors and subcontractors, and reporting on variations to work orders
- Working with clients, property and facility managers, builders and other contractors to make sure each project meets its goals

- Collecting and analysing data on our programs and projects (hours on site, costs, revenue, progress) and reporting the results to the Managing Director
- Preparing submissions, tenders and reports, including council and commercial tenders
- Keeping our work health and safety paperwork up to date: risk assessments, protected work method statements, chemical registers, inductions and training records
- Supporting invoicing and the approval of completed jobs in our job management system and Xero

What we are looking for:

- At least one year of full-time experience in program or project administration or coordination, ideally in landscaping, horticulture, grounds maintenance, agriculture or construction
- A Diploma or higher in a relevant field (such as project management, business or horticulture) is highly regarded
- Strong planning and organisational skills, and the ability to run several programs and projects at once
- Clear written and spoken English, and confidence leading a team and dealing with clients and contractors
- Confidence with job management or scheduling software, Xero and office applications
- A working knowledge of work health and safety requirements
- A current driver's licence and willingness to travel to client sites across the region
- Flexibility to work longer weeks in our busy seasons (up to 50 hours)

What we offer:

- $85,000 a year plus superannuation
- Full time: 38 ordinary hours a week, Monday to Friday, plus extra hours in our busy seasons (up to 50 hours in some weeks)
- A company vehicle and phone for work use
- Working directly with the Managing Director

To apply, send your resume and a cover letter telling us about the programs or projects you have run. Only shortlisted applicants will be contacted.

Pay: $85,000.00 per year

Work Location: In person
