We are a high-end boutique private wealth firm operating in Sydney for over 20 years.

The chance

At Velaris Private Wealth, how clients feel matters as much as the quality of our advice. Some firms split reception, hospitality, events, client communications and brand presentation across several people, and clients feel the seams. We are bringing them together into one role, with the autonomy to shape how it's done.

You will be the first person our clients see and often the one they remember. This is not a conventional reception role. It is the custodian of the Velaris Private Wealth client experience.

What you are like

- You have an instinctive feel for premium service. You know the difference between something being done well and being done exceptionally well, and you notice when the experience falls short.

- You notice things. The client who is feeling the cold, the partner who takes oat milk, the chair that's slightly out of line. You see it before anyone has to ask.

- You are warm, genuine and approachable, without ever becoming overly familiar. People relax around you.

- You read people and rooms well. You know when to engage, when to step back and when something needs quiet, discreet attention

- You remember what matters to people: names, preferences, important occasions, the grandchild who just started school. And you use it thoughtfully.

- You believe the details are the experience. ‘Near enough’ simply doesn't sit well with you.

- You are completely at ease with sophisticated clients, senior professionals and their families.

- You stay calm and composed when plans change at the last minute. Guests never see the paddling beneath the surface.

- You don't wait to be told. You see what needs attention, take ownership and resolve it.

- You are equally happy thinking about the entire client journey and straightening a chair five minutes before a meeting. Neither is beneath you.

- What matters is that you have personally delivered outstanding service. You do not need any financial services experience; we are far more interested in the instincts and standards you bring from outside our industry.

Your job

You own the quality and consistency of the Velaris Private Wealth experience across our office, client meetings, events and external touchpoints. The role is defined by the outcomes you own, not a list of tasks, and how you get there is largely up to you.

This is a hands-on role. You will personally prepare and serve barista-style coffee and refreshments for clients, typically for two to four client meetings a day, as part of the welcome rather than a chore. It will not suit someone who sees hospitality as beneath them.

You are also the voice of the Firm on the phone, answering calls and connecting each caller with the right person.

You translate the Velaris Private Wealth experience into clear, practical standards for preparation, presentation, hospitality and follow-through, with straightforward routines that support good judgement rather than robotic service. You lead by example and coach colleagues when standards slip.

The role can be part time or full time and is fully office based. Part time means a minimum of three days a week: Tuesday, Thursday and Friday, our client meeting days. Any additional days (Monday or Wednesday) are also in the office, and are your time to keep the office running beautifully: ordering supplies, post and mail, document support and general office coordination and administration, alongside standards and brand initiatives and new client experience ideas.

Every client feels genuinely welcomed and known

Clients, prospects, professional partners and guests are greeted personally, looked after with care and never left wondering what happens next. You learn and thoughtfully record preferences and important life events, and find meaningful ways to recognise milestones.

You'll know it's working when clients comment, unprompted, on how they were looked after, and their preferences are remembered visit after visit.

Every meeting feels effortless because the preparation was exceptional

Reception, meeting rooms and client areas are always presentation-ready. You prepare for the specific people attending, not a generic checklist:



refreshments, technology, room set-up and special requirements. Problems are solved before a client ever notices them.

You'll know it's working when meetings start on time in a room that is ready, and advisers never have to think about it.

Clients get help with what matters to them beyond their finances

You build a trusted network of high-quality providers and contacts, and help our advisers act on the non-financial goals clients share with us, from introductions to special arrangements. You follow through until it's done properly, with sound judgement and clear boundaries.

You'll know it's working when arrangements are done well and advisers value the service.

The Velaris Private Wealth brand is experienced consistently, not just seen

You are the practical custodian of how our brand feels in real life: in the office, in client communications, at events and in physical materials. You spot gaps between the experience we intend and the one clients actually receive, and you close them. Anything generic, careless or below standard gets challenged.

You'll know it's working when clients describe us as unlike any other advice firm they've known.

Events, communications and the client journey keep getting better

You help organise our events, from our twice-yearly residential conference to client, professional partner and ad-hoc events, from invitation to follow-up. You also support client communications and look across the whole client journey, in person and remote, to remove friction.

You'll know it's working when guests talk about our events afterwards and clients experience ‘wow’ moments they share with family and friends.

Capabilities and experience required

- Demonstrated experience personally delivering premium, highly personalised service

- Exceptional interpersonal skills and the ability to build rapport with a wide range of people

- Outstanding organisation and follow-through, juggling priorities calmly without dropping a detail

- Experience coordinating events or conferences, hospitality, guest services or complex arrangements

- Excellent written and verbal communication, a polished phone manner and immaculate presentation

- Strong judgement, discretion and respect for confidentiality

- Confidence working independently and taking ownership without constant direction
- The ability to influence standards across a team without relying on hierarchy

- Comfort with everyday business technology and office administration, and keen to learn new systems

- Barista experience, or a genuine willingness to learn to make an excellent coffee
