Exclusive Linings is a specialist ceilings and partitions subcontractor. We deliver commercial interiors for Australia’s leading Tier 1 head contractors, including Lendlease, Multiplex, Hansen Yuncken and Built. Our work spans hospitals, universities, defence facilities and commercial towers across Western Australia and South Australia.

The Role

You will report to the General Manager and work alongside our Project Managers, Site Supervisors, Document Control and Contracts Administration teams. Your job is to keep project admin running so our PMs can focus on delivery.

Key responsibilities include:

- Site compliance: inductions, licences, tickets, SWMS, insurances and labour-hire/subcontractor paperwork

- Collecting site timesheets and daywork records, and passing them to payroll and contracts

- New project setup and project close-out admin

- Maintaining project registers, including submissions, samples, plant, permits and training

- Coordinating procurement admin: purchase orders,



delivery tracking and supplier follow-ups

- Taking meeting minutes and managing action registers

- Helping PMs with manning charts, programme updates and reporting

- Acting as the first point of contact between site, office and head contractor teams for general admin queries

About You

- 2+ years in a project coordinator or project administrator role, ideally in construction, fitout or subcontracting

- Familiarity with Procore and/or Aconex is an advantage

- Solid Excel and Microsoft Office skills

- Highly organised, and able to keep several live projects moving at once

- Confident following up site teams, suppliers and head contractors

- Proactive and process-minded; you tighten systems rather than work around them
