THE POSITION

The Practice Manager is accountable for the operational, financial and people performance of their clinic. The role exists to ensure every patient receives a consistent premium experience, every team member performs to standard, and every clinic operates as a high-performing business unit.

The Practice Manager is responsible for driving utilisation, conversion, retention, treatment planning adoption, team performance and patient satisfaction while ensuring operational excellence across all aspects of the clinic.

CLINIC PERFORMANCE

- Deliver clinic revenue and profitability targets
- Drive utilisation across all practitioners
- Improve average visit value across the clinic
- Improve retention and rebooking outcomes
- Ensure treatment planning adoption is embedded
- Identify revenue opportunities and performance risks
- Review clinic KPI performance weekly

TEAM LEADERSHIP

- Lead and manage all clinic team members
- Build a positive, accountable and high-performing culture
- Conduct regular one-on-one meetings with staff
- Address underperformance promptly
- Support recruitment and onboarding activities
- Support clinician development alongside the Education Development Manager
- Ensure all team members understand and achieve KPI expectations

PATIENT EXPERIENCE

- Ensure delivery of a premium and consistent patient journey
- Ensure every patient leaves with a clear next step
- Monitor patient feedback and reviews




- Resolve complaints and escalations promptly
- Maintain high clinic presentation and service standards

OPERATIONAL EXCELLENCE

- Ensure compliance with all SOPs and clinic standards
- Manage clinic rostering and workforce planning
- Ensure booking efficiency and diary optimisation
- Monitor stock levels and inventory controls
- Coordinate clinic maintenance requirements
- Ensure accurate use of DappleOS and clinic systems

TREATMENT PLANNING & CONSULTATION STANDARDS

- Ensure every patient leaves with a treatment plan
- Monitor treatment plan adoption across clinicians
- Reinforce consultation standards and structured patient journeys
- Support implementation of Consultative Mastery principles
Partner with the Education Development Manager to address skill gaps

FINANCE ACCOUNTABILITY

- Understand clinic profit and loss performance
- Monitor wages as a percentage of revenue
- Control clinic expenses and minimise wastage
- Monitor stock usage and inventory performance
- Improve clinic profitability through productivity and operational efficiency

REPORTING & ACCOUNTABILITY

- Conduct daily clinic huddles
- Participate in monthly Practice Manager meetings
- Submit weekly clinic performance reports
- Maintain visibility of revenue, AVV, utilisation, retention, conversion and treatment plan adoption
- Escalate risks and performance issues proactively
