In this vital operational role, you will manage our end-to-end payroll and bookkeeping workflows, ensuring that clinicians are paid accurately and timely, billing discrepancies are promptly resolved, and compliance obligations are seamlessly met. You will work closely with our multidisciplinary clinical team and practice management staff to maintain efficient financial systems within a supportive, purpose-driven healthcare environment.

Responsibilities:

- Chase outstanding clinician invoices prior to payroll cut-offs to ensure timely remuneration.

- Perform bank reconciliations, expense coding, and month-end ledger balancing using Xero.

- Manage credit control by following up on bad debts, overdue invoices, and outstanding client accounts.

- Identify, check, and process end-of-week missed billings and handle outstanding client payments through our practice management system.

- Manage transactions and reconciliations from external booking platforms, including TryBooking.

- Liaise with third-party funding bodies and billings portals to process claims and resolve payment queries.

- Prepare documentation and draft schedules for quarterly Business Activity Statements (BAS).

- Monitor, prepare for, and implement routine compliance updates,

including Modern Award rate reviews and statutory superannuation rate adjustments.

Essential Qualifications / Experience:

- Demonstrated experience in end-to-end payroll processing and award compliance.

- Proven proficiency with Xero for bookkeeping, reconciliations, and payroll.

- Robust attention to detail with high accuracy in numerical data entry and financial record-keeping.

- Excellent interpersonal and communication skills, with a professional and compassionate approach to credit control and debt follow-up.

- Sound understanding of Australian statutory compliance, including PAYG withholding, Superannuation Guarantee, and BAS preparation.

- Ability to prioritise completing tasks, manage deadlines independently, and handle sensitive financial and client information with strict confidentiality.

Desired Qualifications / Experience:

- Previous bookkeeping or accounts experience within the healthcare, medical, or allied health sector.

- Familiarity with allied health practice management software (e.g. Cliniko, Halaxy, Zanda, or similar platforms).

- Experience administering third-party portal billings (e.g. Medicare, or private health insurers).

- Relevant qualifications in Accounting, Bookkeeping, or Financial Services (e.g. Certificate IV or higher).

Benefits:

- A supportive and collaborative work environment committed to mental health and clinical excellence.

- Flexible working arrangements with a friendly, dedicated team in our Mosman office.

- Competitive remuneration commensurate with experience.

- Opportunities for professional development and exposure to diverse healthcare practice finance workflows.

- The satisfaction of supporting an organisation dedicated to recovery, health, and clinical care.

How to Apply:

Please submit your resume/CV and a brief cover letter outlining your relevant experience with Xero, payroll, and financial operations to Sarah McMahon at ••••@bodymatters.com.au.
