As the first point of contact for patients — whether by phone, digitally, or in person — you will play a central role in creating a welcoming, empathetic and polished experience from the very first interaction. You will support daily front desk operations and help maintain smooth clinic flow in a busy private practice workplace.
Key responsibilities
- Managing appointment scheduling and practitioner diaries
- Answering calls and responding to texts and emails with warmth, professionalism and efficiency
- Welcoming patients and maintaining a calm, organised reception environment
- Managing private billing and issuing invoices via our practice management system
- Processing consultation payments in person and via our secure digital payment platform
- Providing Medicare rebate guidance to patients (rebates claimed directly by patients)
- Reconciling daily payments and maintaining accurate financial records
- Maintaining accurate and confidential patient records
- Coordinating with our practitioners to ensure efficient clinic flow
- Handling sensitive conversations with discretion, empathy and professionalism
About you
- Previous medical reception or healthcare administration experience
- Experience working within a private billing practice (preferred)
- Confidence discussing consultation fees and Medicare rebate processes
- Excellent written and verbal English communication skills, with the ability to explain sensitive or complex information clearly and compassionately
- Strong digital literacy and confidence working within an Apple/Mac-based environment
- Ability to learn and navigate medical software systems efficiently
- A calm, emotionally intelligent approach in a busy environment
- High attention to detail, accountability and reliability
- A reliable and practical commute to Mosman, with the ability to attend shifts consistently and punctually
