It's all about the company
Our client is a global medical device business with its ANZ head office on Sydney's Northern Beaches. What they make ends up in operating theatres, so precision is not an abstract virtue there. It runs right through the business, finance included. The finance team is small and close knit, and it has spent this year tightening up how it works. A purchase requisition and purchase order process has been brought in and invoice handling has moved onto an automation platform, so you would be joining at the point where things are getting better organised rather than drifting.
It's all about the job
Three days a week, job sharing with an existing part timer who covers the back half of the week. You overlap on one of those days, so there is a real handover every week rather than two people working in the dark. The core of it is end to end ownership of vendor invoices. New vendor setup, master data, purchase order and non purchase order invoices, and chasing discrepancies down rather than parking them. You will run the regular payment cycles, look after the corporate card and travel account programme, and work alongside the purchase requisition and purchase order process. Staff expenses are the part that takes judgement. You will be checking travel and entertainment claims against policy and working out what can go through and what cannot, which means a fair amount of back and forth with the sales team. A claim that bundles a client dinner in with something personal needs a conversation rather than a rejection email, and you are the person having it. There is a month end rhythm as well: ledger reconciliations and audit schedules,
intercompany statements and balances, accruals, cashflow forecasting and settlement payments, and following up the open items nobody else has chased.
It's all about you
You have done accounts payable before, ideally managing staff expenses (ideally using Chrome River or Concur). Beyond that, the hiring manager has been clear that attitude counts for more than a tick list. What they want is someone who thinks systematically, uses good judgement about the right course of action, and sees things through to the end. The person who stops at "I have processed the document, the rest is someone else's problem" is not it. Ownership is the word that keeps coming up. You are savvy with systems and you understand how they hang together, so you can pick up a new one quickly. Time in a large, complex ERP such as SAP, JD Edwards or Oracle is what sets you up well here. The invoice automation and expense platforms are ones you will be trained on, because almost nobody arrives knowing them. You can query a claim with a sales rep who would rather you just paid it, and do it without the whole thing turning into an argument. You are strong in Excel, comfortable in Word and Outlook, and happy in a small team where everyone picks up what needs doing. Three or more years in a similar role, or a relevant degree, is the baseline. Three days a week, with your working week finished midweek, suits someone who wants to keep their hand in without the full time commitment. Whether that is because you have young children at home or because you are easing back at the other end of your career, the arrangement works either way.
