Medical Receptionist/Practice Coordinator | Pathway to Practice Manager

If you’re an experienced medical receptionist or healthcare administrator who enjoys making things run well, solving day to day operational issues and taking ownership rather than simply waiting for the next task, this role could be a valuable next step.

Our client, Maura Medical Centre, is a new and growing clinic in Bendigo, and we’re looking for a Medical Receptionist/Practice Coordinator who can combine strong front of house skills with an interest in the broader workings of a medical practice.

The position will initially be employed on a casual basis while the clinic establishes and grows. The role will be hands on, with the initial focus primarily on reception, patient administration and the day to day running of the front desk, alongside practice coordination and helping establish systems, processes and workflows.

What makes the role different is where it is intended to lead.

The plan is for the successful candidate to progressively take on greater responsibility as the clinic grows, building their capability across practice operations, team coordination, policies and procedures, accreditation, quality improvement and administrative reporting.

If this progression occurs as planned and the candidate is the right fit for the Practice Manager position, the intention is for the role to transition into a permanent Practice Manager position.

What you’ll be doing

You’ll be involved in the practical day-to-day work of the clinic, including:

- providing a warm and professional experience for patients

- managing appointments,

telephone enquiries and patient administration

- processing billing and supporting Medicare, DVA and WorkCover.

- managing correspondence, referrals, records and practice inboxes

- helping establish and improve reception and administrative workflows

- identifying operational issues and following them through

- liaising with clinicians, service providers, IT support and other external contacts

- supporting privacy, compliance, quality improvement and accreditation activities

- helping onboard and support additional administration staff as the practice grows.

As the clinic develops, the role is expected to expand into areas such as roster coordination, team communication, policies and procedures, billing and expense monitoring, recruitment, induction, training and supervision of administrative staff.

About you

You’ll already have experience in medical reception or healthcare administration and be comfortable managing a busy front desk.

Just as importantly, you’ll be someone who notices what needs doing and follows through.

You’ll bring:

- strong organisation and attention to detail

- confidence communicating with patients, clinicians and colleagues

- an understanding of privacy and confidentiality in healthcare

- a practical approach to problem-solving

- confidence using Microsoft Office and learning practice software

- the ability to adapt as a new practice develops

- an interest in learning more about practice operations and management.

Experience with Medicare billing, accreditation, rostering, policies and procedures, or helping establish or improve a healthcare service would be highly regarded, but you don’t need to be an experienced Practice Manager to apply.

The kind of person we’re looking for

How you work with people matters here.

The clinic values honesty and humility, reliability, dignity and respect, kindness and warmth.

We’re looking for someone who takes initiative while knowing when to ask questions, is open to feedback, remains calm when priorities change and genuinely wants to learn and grow with the practice.

Where this role can take you

The role has been designed to give the successful candidate the opportunity to learn the practice, help establish its day to day operations and progressively build their practice management responsibilities alongside the Clinic Director/Practice Owner.

The planned pathway is from casual Practice Coordinator to a permanent Practice Manager position, subject to the growth and needs of the clinic and the successful candidate demonstrating the capability and fit required for the Practice Manager role.

If you’re ready for more responsibility but still enjoy being connected to patients and the everyday workings of a medical practice, we’d be pleased to hear from you.
