Office Administrator / Construction Administration Assistant (Part-Time)

CMR Constructions | Gold Coast, QLD

Join a growing luxury residential construction company and become an integral part of our team.

About Us

CMR Constructions is a rapidly growing residential building company specialising in luxury homes on the Gold Coast. We take pride in delivering exceptional quality, attention to detail and a personalised building experience for our clients.

As our business continues to expand, we're looking for a capable, organised and proactive Office Administrator / Construction Administration Assistant to join our team on a part-time basis.

This is a fantastic opportunity for someone who enjoys variety, takes ownership of their work and wants to grow alongside an ambitious and expanding business.

About the Role

Working closely with our founding partners, you'll play an important role in keeping the day-to-day operations of the business running smoothly.

This is a varied, hands-on position covering construction administration, accounts, supplier coordination, purchasing and general office support.

We're looking for someone who can take initiative, confidently follow things up and get things done without needing constant direction.

Key responsibilities include:

- Construction Contracts: Preparing and assisting with Master Builders contracts, variations, progress claims and other building documentation.
- Accounts & Xero: Entering supplier invoices, reconciling accounts, tracking payments and assisting with general bookkeeping.
- Buildertrend: Assisting with project administration, documentation, schedules and client communication.
- Supplier Quotes: Contacting suppliers and subcontractors, obtaining competitive quotes, comparing pricing and following up outstanding quotations.

- Purchasing: Ordering materials, coordinating deliveries and checking supplier invoices against quotes and orders.
- Timesheets & Payroll Support: Collecting and checking weekly staff timesheets, allocating hours to individual projects and preparing information for payroll.
- Social Media: Helping manage our Instagram page, organising site progress photos and sharing updates showcasing our projects.
- Consultant Coordination: Liaising with architects, engineers, certifiers and other consultants to follow up documentation, approvals and outstanding items.
- Client Communication: Professionally handling enquiries and assisting with client correspondence.
- General Administration: Managing emails, answering phones, maintaining records, organising documents and providing general support to the team.

About You

We're looking for someone who is professional, switched on, highly organised and genuinely enjoys making things happen.

Ideally, you'll have:

- Previous administration experience, ideally within the residential building or construction industry.
- Strong Microsoft Office skills, particularly Outlook, Word and Excel.
- Experience using Xero, including accounts payable and general bookkeeping.
- Familiarity with Master Builders contracts, variations and progress claims (highly regarded).

- Experience with Buildertrend or similar construction project management software (an advantage).
- Experience obtaining supplier quotes, comparing pricing and coordinating purchasing.
- Excellent written and verbal communication skills.
- Exceptional attention to detail and the ability to manage multiple tasks.
- Confidence speaking with suppliers, subcontractors, consultants and clients.
- Strong organisational skills and the ability to work independently.

Above all, attitude and initiative are what matter most to us.

We don't expect you to know everything from day one. We're looking for someone who is resourceful, willing to learn, comfortable asking questions when needed and confident enough to pick up the phone and find answers.

You'll be the kind of person who notices what needs doing, takes ownership and follows things through.

What We Offer

- A part-time position with a growing luxury residential construction company on the Gold Coast.
- A varied and interesting role with exposure to all aspects of the business.
- The opportunity to work directly with the founding partners and make a meaningful contribution.
- A friendly, supportive and down-to-earth working workplace.
- The autonomy to take ownership of your responsibilities and help improve how things are done.
- Genuine opportunities to develop your skills and grow into a larger role as the company expands.

How to Apply

If you're a capable, proactive administrator who enjoys being organised, solving problems and getting things done, we'd love to hear from you.

Please submit your resume along with a brief introduction outlining your relevant experience and why you'd be a great fit for CMR Constructions.
