You will play an important role in supporting the organisation's governance processes, monitoring strategic priorities, coordinating projects and maintaining effective communication with internal and external stakeholders.
This position requires a high level of professionalism, discretion, initiative and attention to detail, with the ability to work independently and manage multiple competing priorities.
What you'll be doing
- Proactively manage the General Manager's diary, appointments, meetings and competing priorities.
- Coordinate meetings and engagements with internal and external stakeholders, including government representatives, industry partners, Board members and senior management.
- Arrange travel, accommodation and associated logistics.
- Maintain awareness of the General Manager's schedule, commitments and availability, communicating relevant information to the management team as appropriate.
- Prepare, review, proofread and format correspondence, reports, presentations, briefing papers and other documentation.
- Manage the General Manager's expenses, reconciliations and associated liaison with the Finance team.
- Maintain accurate, confidential and organised electronic records and filing systems.
- Maintain the General Manager's action registers, ensuring outstanding actions are monitored, followed up and updated ahead of Board and management meetings.
- Assist in maintaining the organisation's risk register, including coordinating risk updates, monitoring outstanding actions and preparing reports for the General Manager.
- Attend relevant meetings, record accurate and concise minutes, and prepare and maintain action lists.
- Monitor agreed deadlines and follow up with responsible managers to ensure timely delivery of reports, actions and commitments.
- Support governance and reporting processes by ensuring information is accurate, complete and available within required timeframes.
What we're looking for
The successful candidate will be a highly organised, resourceful and professional individual who can work confidently with senior executives and manage a varied workload with minimal supervision.
To be successful in this role, you will demonstrate:
- Proven experience in an Executive Assistant, Personal Assistant, senior administration or similar role supporting senior management or executive leadership.
- Exceptional organisational and time-management skills, with the ability to prioritise competing demands and meet deadlines.
- Excellent written and verbal communication skills, including demonstrated experience preparing professional correspondence, reports and presentations.
- Strong attention to detail and the ability to prepare accurate, concise meeting minutes and action registers.
- A high level of professionalism, discretion and confidentiality when handling sensitive business information.
- The ability to work independently, exercise sound judgement, anticipate needs and demonstrate initiative.
- Strong interpersonal skills and the confidence to engage professionally with Board members, senior management,
government representatives and external stakeholders.
- Advanced proficiency in Microsoft 365, particularly Outlook, Word, Excel, PowerPoint and Teams.
- Demonstrated ability to coordinate projects, monitor deliverables and follow up on outstanding actions.
- A proactive, solutions-focused approach and a willingness to take ownership of responsibilities.
- The ability to adapt to changing priorities and work effectively in a dynamic environment.
Highly regarded, but not essential:
- Experience supporting a Board of Directors, executive committee or governance function.
- Exposure to risk management, compliance reporting or corporate governance processes.
- Experience working within a membership association, professional body, not-for-profit organisation or regulated industry.
- Experience using CRM, document management or project management systems.
- An interest in the NSW property industry and the regulatory environment in which it operates.
