Down Syndrome & Intellectual Disability Queensland (DSIDQ) is the peak body for people with intellectual disability in Queensland. As a registered charity, we advocate for and empower individuals and their families to lead fulfilling, inclusive lives.

Enjoy working with people, organising activities and keeping things running smoothly? We’d love to hear from you.

DSIDQ is looking for a friendly, organised and proactive Programs and Administration Officer to support our programs, social activities, volunteers and general administration across the whole organisation.

This wide-ranging role combines practical program and event support with day-to-day office administration. You’ll help create opportunities for people with intellectual disability and their families to connect, learn and participate in their community.

About the role

You’ll work alongside staff across DSIDQ, providing reliable administrative assistance and helping our programs and events run smoothly.

General administration

- Provide administrative support across the whole organisation, with priorities agreed with your manager.

- Respond to phone and email enquiries professionally and promptly, referring enquiries to the appropriate team member where needed.

- Maintain accurate participant and program records, databases and online registration systems.

- Assist with data entry, filing, correspondence, forms, service agreements and internal documentation.

- Support the day-to-day administrative needs of programs, events and other teams across DSIDQ.

- Maintain confidentiality and securely handle participant, family, volunteer and organisational information.

Programs and events

- Organise registrations, venue bookings, schedules and participant communications.

- Prepare itineraries, attendance lists and relevant dietary and participant support information.

- Liaise with participants, families, support workers, venues and external providers.

- Assist with program and event delivery, risk documentation and participant feedback.

- Contribute ideas to improve activities and administrative processes.

Volunteer support

- Assist with volunteer recruitment, onboarding, induction and ongoing communication.

- Maintain volunteer documentation, including screening, reference and induction records, and refer outstanding requirements to your manager.

- Provide volunteers with event information, schedules and support materials.

- Support volunteer engagement, feedback and recognition.

Required availability

Availability to work two face-to-face Saturday events and two online evening events each month, as well as overnight events as scheduled, is a requirement of this role.

Occasional weekday programme assistance is also required.

Please confirm your availability for these commitments in your cover letter.

About you

You’re approachable, dependable and enjoy a role with variety. You take pride in getting the details right, communicate clearly and can manage competing tasks while seeking guidance when needed.

You will bring:

- Strong organisational and administrative skills, with attention to detail.

- Clear written and verbal communication skills and a welcoming, professional manner.

- The ability to work collaboratively with participants, families, volunteers and colleagues.

- Confidence using Microsoft Office, online systems and databases.

- A respectful approach to confidentiality and handling personal information.

- A current driver license.

- A current Blue Card, NDIS Worker Screening Clearance and First Aid Certificate, or willingness to obtain the required clearances before undertaking relevant duties.

Experience in disability, community services, education or the not-for-profit sector would be an advantage. Experience organising programmes, events or volunteers, using social media and communications platforms, or working within the NDIS environment would also be welcomed.

Why join DSIDQ?

- Use your skills to support inclusion and meaningful community participation.

- Enjoy a varied role combining general administration, programmes, events and volunteer support.

- Build positive relationships with participants, families and colleagues.
