Receptionist / Administration Assistant – Private Psychology Practice

About the Company

CBT Professionals is a family-owned private psychology practice committed to transforming lives and supporting people.

Our people-focused culture is at the heart of what we do. We are always looking for hardworking, genuine and motivated people who bring a team-focused attitude and want to contribute to a supportive environment.

It is the people at CBT Professionals who make our business a success, and we value team members who are passionate about helping others, building strong relationships and growing with the practice.

About the Role

We are looking for a casual Receptionist / Administration Assistant to join our Mount Gravatt practice, working approximately 10–20 hours per week.

This is a great opportunity for someone who already has administration or reception experience and is particularly interested in working within the mental health and psychology field.

For the right person, there is potential for the role to progress into a permanent position in the future, along with opportunities for career development and progression within our administration team.

As one of the first points of contact for our clients, you will play an important role in creating a welcoming, professional and supportive experience. We are therefore looking for someone with strong interpersonal and communication skills, who is confident interacting with a wide range of people and understands the importance of sensitivity and professionalism within a mental health setting.

Responsibilities

As part of the administration team, your responsibilities will include:

- Providing a warm and welcoming first point of contact for clients

- Greeting and checking in clients attending the practice

- Managing a high volume of phone and email enquiries in a professional and supportive manner

- Managing clinician appointment diaries, including bookings, cancellations and waitlist management

- Responding to online enquiries and referrals

- Processing payments, Medicare rebates and third-party invoicing

- Administering client paperwork and questionnaires

- Supporting clinicians with day-to-day administrative requirements

- General reception and administrative duties, including scanning and document management

- Assisting with the general organisation and presentation of the clinic

- Working collaboratively with the wider administration and clinical teams

About You

We are looking for someone who genuinely enjoys working with people and can bring warmth, professionalism and reliability to a busy psychology practice.

Strong digital literacy is required with demonstrated proficiency across Microsoft 365 applications, including Outlook, Teams, Word and Excel, with the ability to quickly learn new systems.

To be successful in this role, you will ideally have:

- Previous experience in an administration and/or reception role

- Strong interpersonal skills and the ability to communicate confidently and professionally with a range of people

- An interest in psychology, mental health or the broader health sector

- A warm, empathetic and approachable communication style

- A professional and confident phone manner

- Proficient with Microsoft 365 applications and strong digital literacy

- The ability to work effectively in a busy, quick-paced environment

- Strong organisation and time-management skills

- Excellent attention to detail

- A proactive approach and willingness to learn

- A hardworking and team-focused attitude

- The ability to maintain professionalism, discretion and confidentiality

- Flexibility with availability to support the needs of the practice

Why Join Our Team?

At CBT Professionals, we want our administration team to have opportunities to learn, develop and grow within the organisation.

We offer:

- Potential to progress from casual employment into a permanent position for the right fit

- Opportunities for career progression and development within the administration team

- Experience working within an established psychology and mental health environment

- The opportunity to work closely with psychologists and other mental health professionals

- A supportive and team-focused workplace

- Recognition initiatives and social events

- A values-driven work environment

- Meaningful work supporting clients accessing psychological services

This could be particularly suited to someone who wants to build their administration career within the mental health sector and is looking for an opportunity where they can develop with the practice over time.
