Mindstate Psychology
South Perth
Mindstate Psychology is a growing provider of psychology facilities in South Perth. We supply the administration, marketing and practice support behind a growing number of independent psychologists who deliver psychological treatment, neurofeedback and forensic assessment. The practitioners we support are some of the leading providers of psychological assessments for WA Courts. As that forensic work expands, we need someone to run its administration. We are looking for a permanent, full-time Forensic Services Coordinator to manage our growing Forensic Psychology arm. We are particularly keen to hear from you if you have a background in legal administration and can handle complex roles.
The role
This is not a standard reception job. You’ll own the administration of forensic assessments from first enquiry to final invoice. You’ll be the main point of contact for law firms and forensic clients, and you’ll keep the psychologists on track to deliver.
The psychologists we support are excellent at assessment, and a large part of this role is working independently to keep the practitioner’s workflow moving: tracking each matter, spotting problems before they become delays, and following up with practitioners, lawyers and clients until things are done.
What you’ll do
· Manage forensic enquiries from law firms and clients, and prepare cost estimates and quotes from referral information and Court orders
· Schedule assessments and manage practitioner workflow so that reports meet court and solicitor deadlines and practitioners stay on track
· Track every matter through to completion and follow up on outstanding items
· Issue forensic invoices on behalf of practitioners and maintain accurate law firm accounts
· Supervise psychological testing sessions (training provided)
· While this role is primarily focused on the specialist forensic work, we are a small business, and we would expect you to also work within the general admin team, including helping ensure the front desk is covered and answering general phone calls and emails.
What you’ll bring
· Experience in legal, medico-legal or practice administration (highly desirable to have 10 or more years experience)
· Sound judgement and the confidence to make decisions, prioritise, and solve problems without waiting to be told.
· Strong attention to detail, especially with numbers, dates and invoices
· The ability to be polite but firm, with lawyers, clients who are distressed or angry, and busy clinicians
· Clear written and verbal communication, and confidence using Microsoft Word and project management platforms (e.g., ClickUp)
· Comfort learning current systems (experience using Zanda is a plus)
· Experience with invoicing, payment reconciliation or basic bookkeeping (highly desirable)
· Discretion with highly confidential information
What we offer
· A specialised role in a unique field between psychology and the law
· Full training in forensic processes and our systems
· Free on-site parking
· Some flexibility in hours (noting the role is full-time, on-site and office-based)
· A supportive, respectful team in a long-established family-run practice
We’re looking for someone who wants to stay long-term and grow with the role. This position works best for someone planning to be here for years, not as a short-term stepping stone.
How to apply
Apply via Seek with your CV and a cover letter. In the letter, tell us about a time you kept a complex process on track despite other people, what appeals to you about this role, and why you want a long-term role. A current police clearance and working with children check are required before you start.
