You will work closely with our pharmacy, accounts and dispatch teams to direct enquiries, resolve routine matters and keep customers informed. This role would suit someone who communicates clearly, enjoys helping people and can manage competing priorities while maintaining accuracy and a professional manner. Your responsibilities will include:

- Account payments: Process payments over the telephone using approved systems and procedures, accurately record transactions and arrange receipts
- Account enquiries: Assist with routine questions about invoices, statements and payments, provide copies of documents where authorised, and refer discrepancies or complex enquiries to the accounts team.
- Email correspondence: Monitor shared inboxes, respond to routine enquiries and direct other matters to the appropriate team for action.
- Customer support: Assist with general questions about our services, administrative processes and delivery arrangements, referring medication and clinical enquiries to a pharmacist.
- Delivery enquiries: Liaise with dispatch staff to check delivery progress,
follow up reported issues and provide customers with updates.
- Customer records: Maintain accurate contact details, authorised account contacts and records of enquiries, payments and follow-up actions.
- Recent customer administration: Assist with registration paperwork, account forms and checking that required information has been received.
- Feedback and complaints: Listen respectfully, document concerns and escalate matters appropriately, following through to ensure customers receive a response.
- General administration: Undertake data entry, scanning, filing, document preparation, incoming and outgoing correspondence, and other administrative duties as required.
- Confidentiality: Handle customer, financial and health information discreetly and follow company procedures when verifying identities or releasing information. We are looking for someone with:
- Previous experience in customer service, reception or administration.
- A warm, professional telephone manner and strong written communication skills.
- Patience and empathy when assisting older people, family members and customers who may be concerned or frustrated.
- Excellent attention to detail, particularly when processing payments and maintaining records.
- Good organisational skills and the ability to prioritise work and follow tasks through to completion.
- Confidence using email, Microsoft Office and computerised customer or account systems, with a willingness to learn recent software.
- Sound judgement about when to resolve an enquiry and when to seek assistance.
- A dependable, cooperative approach and the ability to work independently and as part of a team. Experience in pharmacy, healthcare, aged care or accounts administration would be an advantage, but is not essential. If you take pride in providing helpful customer service and keeping administration organised, we would welcome your application.
