About the role
You’ll help manage Council information, follow through on customer requests and provide accurate, reliable administrative support. This role combines routine records work with customer coordination and practical improvements to everyday processes. You’ll work with the Works team, other departments and contractors, maintaining accuracy and discretion even when tasks are repetitive. As digital technology and AI change the work, you’ll contribute practical input and help test approved changes—not lead IT or transformation projects.
Key responsibilities
of the role include:
- Register, classify and distribute correspondence; maintain electronic and manual records through routine quality checks.
- Maintain the Contract Register and support archiving, retention and disposal activities.
- Help staff use document management systems through first-line support, induction and refresher training.
- Register and allocate customer requests, working with the Works team and other departments to coordinate responses.
- Follow up outstanding requests, refer unresolved matters and report on progress and recurring issues.
- Help improve workflows and support records and archives projects, including testing and documenting approved digital changes.
- Administer bin enquiries and replacements, liaising with Council teams and the external contractor and keeping customers informed.
- Support Corporate Services with hall bookings, including Longford Memorial Hall, correspondence, mail and general administrative and finance tasks.
- Provide reception and cashiering on an ad-hoc basis to cover staff—not as the role’s primary duties.
