About the Business

Bake Point Pty Ltd trading as The Turkish Bread Company is a bread manufacturer and wholesale supplier based in Coolaroo, in Melbourne’s north. Trading since July 2015, the business produces fresh, hand-made breads and baked products, including frozen breads made to each customer’s requirements, and supplies them to cafés, restaurants, bread shops and fruit markets across the city, with deliveries running Monday to Saturday. Production follows strict occupational health and safety and hygiene procedures, and the business has grown to a team of fifteen on the strength of consistent product quality and dependable daily supply. It is a hands-on, close-knit workplace where every team member plays a part in getting fresh bread out the door and to customers on time, six days a week.

About the Position

The Office Manager is a newly created, full time role based at the Coolaroo production facility, reporting directly to the Director and supervising a team of three office staff. The business’s six-day production and delivery operation now needs a dedicated manager to run its administrative side, so that customer orders and accounts, records, payroll, staffing and compliance are handled by an office that is organised, properly staffed and compliant. The Office Manager plans and oversees the office’s services,

keeps the business’s records and accounts in order, coordinates with the Director, the accountant and other professionals, and ensures that workplace health and safety and employment obligations are met across a workforce of fifteen.

Key Responsibilities

- Plan and review the office services that support the business’s production, delivery and customer-supply operation, and set priorities and service standards for the office team
- Allocate staff, workspace and equipment across the office so that order processing, customer enquiries and record keeping are covered six days a week
- Assign work to the office staff, monitor their performance, and provide day-to-day supervision, guidance and training
- Keep the business’s records and accounts in order, including customer and supplier accounts, invoicing and payments, and the administrative records that support a food manufacturing operation
- Coordinate with the Director, the business’s accountant and other external professionals on office matters, and resolve problems as they arise
- Ensure office equipment and supplies are available, maintained and replaced when needed

- Ensure the business complies with workplace health and safety requirements and with relevant legislation, policies and procedures, and keep the associated records current
- Manage staffing matters across the business, including recruitment, promotions, performance reviews, payroll, training and supervision

Requirements

- Australian citizens and permanent residents are encouraged to apply.
- A Diploma or higher qualification in hospitality management, business, management, administration or a related discipline.
- At least two years’ experience in an office management or senior administrative role; experience in a food production, hospitality or wholesale distribution business will be well regarded.
- Proficiency with accounting, payroll and office software, including bookkeeping and invoicing systems and the Microsoft Office suite; sound knowledge of record keeping, payroll processing and human resources administration; and a working knowledge of workplace health and safety and employment obligations as they apply to a food production workplace.
- Strong organisational and leadership skills, with the ability to supervise and develop a small team; clear written and spoken communication with staff, customers, suppliers and professional advisers; a practical, solutions-focused approach to problems; close attention to detail; and availability to support an operation that runs Monday to Saturday.
