This part-time role covers payroll, employee financial records, leave, invoicing, expenses, accounts payable and receivable, activity statements and reconciliations. You will take ownership of keeping our records accurate, processing work on time and ensuring the financial detail is properly looked after.

The role will suit someone who works methodically, follows through on tasks and takes pride in keeping things organised and running smoothly.

About Aldermane

Aldermane is a full-service design and delivery firm for the Commonwealth. We bring together expertise across legal, commercial and procurement, strategy, project management, and technical services to support Defence and major Government programs.

Our purpose is to contribute to the security and prosperity of all Australians. Our approach is simple: good people, doing good work.

The role

You will manage recurring bookkeeping activities and maintain clear, reliable financial records in Xero and our related business systems. Working with colleagues and the firm’s accountant as required, you will ensure payroll, billing and financial administration are completed accurately and within the required timeframes.

Your responsibilities will include

Payroll, employee records and leave

- Process payroll, including superannuation, deductions and associated payroll reporting.
- Manage financial onboarding and offboarding, including employee setup, banking, tax and superannuation details, approved pay changes and final payments.
- Process leave, maintain accurate balances and records, and resolve routine payroll and leave queries.
- Keep employee financial information current,

accurate and confidential.

Time records, invoicing and accounts receivable
- Review time records for completeness, accuracy and correct allocation to clients and projects.
- Maintain approved pay and billing rates across the relevant systems.
- Prepare and issue client invoices in accordance with approved time records, agreed rates and client billing arrangements.
- Manage accounts receivable, allocate incoming payments, monitor outstanding balances and follow up overdue invoices.
- Work with colleagues to resolve discrepancies in time records, rates and billing.

Accounts payable, expenses and receipts
- Process supplier invoices, check coding and supporting documentation, and prepare payments for approval.
- Manage business expenses, credit card transactions and employee reimbursements.
- Maintain complete and organised receipts and supporting records.
- Resolve routine supplier and expense queries and ensure transactions are recorded accurately.

Activity statements and reconciliations

- Prepare and lodge BAS and IAS, working with the firm’s accountant as required.
- Complete bank, credit card, payroll and other account reconciliations, investigating and resolving discrepancies.
- Keep Xero records and supporting documentation current and ready for month-end and year-end reporting.
- Provide information and assistance to the firm’s accountant for reviews, adjustments and reporting requirements.

About you

Practical experience using Xero is essential. You will be confident managing routine bookkeeping and payroll independently, maintaining accurate records and meeting recurring deadlines.

We are looking for someone with:

- Experience in Australian bookkeeping and complex payroll (including a mixed workforce of full-time, part-time, casual, and contractor), including leave, superannuation and activity statements.
- Sound knowledge of accounts payable, accounts receivable, expense processing and reconciliations.
- Strong attention to detail and a careful, consistent approach to financial administration.
- Good organisation and task management, with the ability to keep work moving and complete tasks reliably.
- Clear communication and discretion when handling sensitive employee and commercial information.
- Practical judgement and the initiative to identify and resolve discrepancies, seeking input when needed.

Experience in a professional services firm will be highly regarded, particularly familiarity with time recording systems, billing rates and the relationship between recorded time, client work and invoicing.

Why join Aldermane?

You will have a varied, practical role supporting the people and operations of a professional services firm. Your work will make a direct contribution to accurate payroll, reliable billing and well-maintained financial records. We value people who take ownership, work carefully and make it easier for their colleagues to do their jobs well.

Apply

Please submit your CV and a brief note outlining your bookkeeping and payroll experience, proficiency with Xero, and availability for part-time work. Please also mention any experience with professional services billing or time recording systems.
