DA Aviation

Caboolture

DA Aviation Pty Ltd is a boutique aviation services company specialising in supply chain, material management and asset support for commercial airlines, aircraft lessors and aviation maintenance organisations.

We support aircraft end-of-lease, redelivery and heavy-maintenance projects by sourcing critical aircraft material, managing orders, coordinating international logistics and keeping customers informed throughout each project. Our work connects airlines, lessors, MRO facilities, freight providers and aircraft parts suppliers across the world.

We are now looking for a highly organised and proactive Project Coordinator to join our team and support the delivery of international aircraft transition projects.

This is not a routine administrative role. You will be working in a fast-moving aviation environment where priorities can change quickly, documentation matters and getting the right part to the right location at the right time can directly affect an aircraft’s return to service or redelivery.

The role

As Project Coordinator, you will help manage the day-to-day flow of information, orders and shipments across multiple aircraft projects.

You will coordinate with airlines, aircraft lessors, maintenance organisations, suppliers, repair stations and logistics providers. You will follow each requirement from the initial RFQ through supplier quotation, customer approval, order placement, shipment and final delivery.

Your responsibilities will include:

RFQ and supplier management

- Issue and manage RFQs with international aircraft parts suppliers
- Follow up suppliers to obtain timely quotations and supporting part documentation
- Maintain clear and accurate records of quotations, pricing, lead times and availability
- Consolidate supplier responses for internal review and customer approval
- Assist with identifying alternative sourcing options when requested material is unavailable
- Maintain qualified and proactive communication with suppliers

Order management

- Convert approved requirements into purchase orders or exchange orders
- Confirm order acceptance and delivery commitments with suppliers
- Monitor open orders and follow up outstanding actions
- Coordinate changes, shortages, documentation issues and delivery delays
- Maintain accurate order and project information across company systems
- Support the processing of supplier invoices and resolution of order discrepancies
- Assist with warranty claims or other post-delivery issues where required

Shipping and logistics coordination

- Arrange domestic and international transportation of aircraft parts
- Coordinate collections and deliveries with suppliers, freight forwarders, MRO facilities and customers
- Obtain and distribute shipping documentation, including commercial invoices, packing information and airway bills
- Issue shipment pre-alerts and provide tracking updates
- Monitor urgent or Aircraft-on-Ground-related shipments and escalate potential delays
- Support customs-clearance requirements and resolve missing-documentation issues
- Coordinate reverse logistics for exchange cores, repairs and warranty returns

Customer and project communication

- Provide customers with clear, timely updates on RFQs, orders, shipments and outstanding actions
- Assist with preparing project status reports and action lists
- Participate in customer and supplier meetings
- Coordinate priorities with internal team members and external project stakeholders
- Escalate critical supply, documentation or logistics issues before they affect the project
- Help maintain an organised, transparent and responsive customer experience

What we are looking for

You are someone who enjoys bringing structure to complex and fast-moving projects. You communicate confidently, follow through on commitments and do not wait to be reminded when an order, quotation or shipment needs attention.

Ideally, you will bring:

- Experience in project coordination, procurement, order management, logistics or supply chain administration
- Strong organisational skills and the ability to manage multiple priorities simultaneously
- Excellent written and verbal English
- Confidence communicating with international customers and suppliers
- Strong attention to detail, particularly when handling part numbers, serial numbers, pricing and shipping documentation
- The ability to identify risks, escalate issues and follow actions through to completion
- Competence with Microsoft 365, particularly Outlook, Excel, Teams and SharePoint
- A practical, solutions-focused approach

- The ability to work both independently and collaboratively within a small team

Experience in aviation, aircraft parts, MRO operations, freight forwarding or technical procurement would be highly regarded, but it is not essential. Candidates with strong transferable experience in time-critical logistics, industrial procurement or international supply-chain coordination are also encouraged to apply.

You will thrive in this role if you are

- Highly organised: You can maintain control of multiple RFQs, orders and shipments without losing sight of the details.
- Proactive: You follow up before an issue becomes a delay.
- Commercially aware: You understand the importance of pricing, lead times, documentation and supplier commitments.
- Calm under pressure: You can prioritise urgent requirements while continuing to manage routine project activities.
- A clear communicator: Customers and suppliers know exactly what is happening and what is required from them.
- Naturally accountable: You take ownership of actions and see them through.
- Curious: You are willing to learn about aircraft components, aviation documentation and end-of-lease requirements.

Why join DA Aviation?

At DA Aviation, you will be closely involved in real international aviation projects rather than working in a narrowly defined administrative position.

You will gain exposure to:

- Aircraft end-of-lease and redelivery projects
- Airline and lessor material-management operations
- International aircraft-parts sourcing
- Technical documentation and lease-return requirements
- Aviation logistics, exchanges, repairs and core returns
- Direct communication with customers, suppliers and MRO organisations around the world

You will join a specialist business where initiative is noticed, ideas are welcomed and your work has a visible impact on customer projects.

Apply

Please submit your CV together with a short cover letter explaining:

- Your relevant project coordination, procurement or logistics experience
- How you manage competing priorities and time-critical tasks
- Why you are interested in working in the aviation industry

Take the next step in your career and help DA Aviation deliver responsive, transparent and reliable material-management support to aviation customers around the world.
