About the role

This is an Executive & Personal Assistant role supporting our Chairman / Lead Sales Representative within Shellabears Real Estate.

Key responsibilities

- Manage the calendar, meeting scheduling, and travel bookings

- Triage and prioritise emails and correspondence; draft routine replies on the Chairman / Lead Sales Representative's behalf

- Prepare briefing notes, agendas, and materials ahead of meetings

- Coordinate with external parties (solicitors, accountants, bank contacts)

- Maintain and update Vault CRM - contacts, action lists, listings, and marketing tasks

- Prepare property marketing materials and listing/contract documentation

- Liaise with vendors, buyers, tenants, and other agents on transaction admin





- Maintain the investor/distribution contact database and keep records current

- Assist preparing investor communications and offer documentation - with care around wholesale/sophisticated investor eligibility requirements

- Manage filing, document control, and record-keeping

About you

- 3+ years' experience as a PA or EA, ideally within real estate, property, or financial/professional services

- Excellent written communication and solid attention to detail

- Comfortable handling confidential financial and investor information with discretion

- Proficient in Microsoft 365 (Outlook, Word, Excel); experience with Vault CRM or a similar real estate CRM highly regarded (training available)

- Able to manage competing priorities autonomously in a small-team environment
