About The Role
We are seeking an experienced Executive Assistant to support our General Manager Projects, while contributing to the broader administrative needs of the business.
Working closely with the GM, you'll develop a broad understanding of priorities and activity across our project teams, sites and corporate office. You'll use that understanding to anticipate needs, connect information, resolve issues and keep the GM informed and prepared.
You'll be a trusted point of contact across the business and a sounding board for the GM, bringing sound judgement, discretion and the confidence to offer a considered perspective.
Alongside executive support, you'll remain hands-on with document preparation, reporting, coordination and general administration, while helping junior and site administrators maintain consistent standards.
What You'll Be Known For
- Resolving problems before they grow. You connect information across emails, conversations and project activity, identify what needs attention and take action within your authority.
- Building trusted relationships. You're approachable and professional with everyone from site crews to senior leadership. People trust you to handle concerns sensitively and raise matters appropriately.
- Being a sounding board for the GM. You ask thoughtful questions, raise relevant perspectives and help ensure decisions are informed.
You offer your view respectfully, then support the final call.
- Keeping priorities on track. You protect the GM's time, anticipate what's needed and follow through so actions and commitments don't get missed.
Key Responsibilities
- Proactively manage the GM's inbox, diary, correspondence and priorities, handling matters independently where appropriate and escalating when required.
- Brief the GM ahead of meetings and decisions, ensuring relevant information is available at the right time.
- Coordinate meetings, appointments and travel arrangements, and follow up on actions and commitments.
- Maintain effective communication between the GM, project teams, site personnel and Corporate Services.
- Handle confidential and sensitive information with discretion and sound judgement.
- Prepare and maintain professional documents, reports, presentations and spreadsheets.
- Assist with management reporting, data collation, records, registers and filing systems.
- Provide guidance and practical support to junior and site administrators.
- Identify and implement improvements to administrative processes, documentation and systems.
- Assist with business initiatives, ad hoc requests and general administration across the business.
About You
- Proven experience as an Executive Assistant supporting a senior leader, ideally within construction, resources or a project environment.
- Demonstrated experience managing an executive's inbox, diary and competing priorities.
- Sound judgement: you know when to act, when to escalate and when information should remain confidential.
- The confidence to offer an honest, considered view to senior leaders,
and the professionalism to support the decision once made.
- Strong relationship-building skills, with the ability to earn trust at all levels of the business.
- A proactive, solutions-driven approach, with examples of identifying and resolving issues without waiting for instruction.
- Demonstrated discretion when handling confidential information and sensitive matters.
- Strong Microsoft Office skills, with the ability to produce accurate, skilled documents, reports and presentations.
- Excellent organisation, communication and attention to detail, with reliable follow-through.
- A willingness to provide hands-on administrative support, guide others and improve ways of working.
