JobTitle: Virtual Assistant-Operations

Location: Remote

AbouttheRole

WearecurrentlyhiringforoneourclientbasedinAustralia,we'relookingforahighlyorganised,systems-drivenOperations VAtoworkdirectlywiththeCEOofthecompanyandcoordinatetheoperationalengineoftheiraccountingpractice.

Thisrolesitsfirmlywithintheaccountingdomain. YoumustunderstandAustralianbookkeepingandmanagementaccountingfundamentals. However,thisisnotastandaloneclientaccountantrole.

Yourfocuswillbe:

- Operationalexecution
- Workflowcoordination
- Systemmanagement
- Capacityoversight

Thisisanindependentcontributorroleforsomeonewhothrivesinstructuredenvironments,respectssystems,andknowshowtoimproveefficiencywithoutdisruptingoperationalstability.

KeyResponsibilities

- Organise,assign,track,andmonitortasksthroughClickUp.
- Monitorteamcapacityandensureworkisdeliveredaccordingtoclientagreementsanddeadlines.
- MaintainorganiseddocumentationandfilingsystemswithinGoogleWorkspace.
- AssisttheCEOwithoperationalplanning,prioritisation,summaries,andinternalinitiatives.




- Trackactionitemsandensuretasksarefollowedthroughandcompleted.
- Conductpreliminaryqualitychecksonreconciliations,coding,andworkpapers.
- Monitorscopeadherenceandflaganyout-of-scopework.
- Assistwithtrackingagedreceivablesandotherinternaloperationalmatters.
- Stepinandsupporthands-onwhenneededtokeepimportantdeadlinesontrack.
- Supporttheonboardingofnewteammembersintocompanytoolsandworkflows.

Must-HaveRequirements

- Backgroundinoperations,practicemanagement,adminVAorexecutivesupportwithinanaccountingfirm
- StrongunderstandingofAustralianbookkeepingfundamentals(GST,BAS,payroll,super,month-end)
- Hands-onexperiencewithClickUp(dashboards,workflows,templates)
- ExperiencewithXero,QuickBooksOnlineand/orMYOB
- Systems-orientedmindsetwithrespectforexistingframeworks
- Abilitytooperateindependentlywithoutclosesupervision
