About The Service & Team
Join the Medical Administration team at Belmont Hospital, part of Hunter New England Local Health District, and play an important role in supporting our Junior Medical Officers (JMOs).
Working alongside doctors, clinical leaders, workforce teams and administration colleagues, you'll help ensure JMOs (interns, residents, senior residents, registrars, advanced trainees) and other medical staff are appropriately rostered and supported so they can focus on delivering safe, high-quality patient care.
You'll be part of a collaborative and supportive team where accuracy, communication and teamwork are valued. No two days are quite the same, and the team works closely together to navigate changing rosters, competing priorities and the fast-paced nature of medical workforce coordination.
Belmont Hospital holds accreditation with the Health Education & Training Institute (HETI) for prevocational doctors (interns and residents), and with several specialty colleges for vocational training – this includes ACEM (Emergency Medicine), RACS (Surgery), RACP (Physicians), ANZCA (Anaesthetists), ACRRM (Rural Generalist) and RACMA (Medical Leadership & Management).
About The Role
As a JMO Coordinator, you'll be responsible for the day-to-day coordination of medical rosters and workforce requirements across allocated specialties and services.
Your work will have a direct impact on the smooth operation of clinical services,
with responsibilities include:
- Coordinating and maintaining JMO rosters across allocated services
- Entering and updating shifts and roster changes accurately in HealthRoster
- Responding to enquiries from JMOs, senior medical staff and internal stakeholders
- Collaborate with other medical administration team members in liaising with the Locum Management Unit to coordinate locum cover when required, including travel and accommodation bookings
- Maintaining accurate records and ensuring processes align with relevant awards, policies and procedures – this includes JMO-related governance in collaboration with the accreditation organisation (HETI)
- Lead and implement strategic directions for medical staff wellbeing across the hospital, with direct support from the Director of Prevocational Education and Training (DPET) and Director of Medical Services (DMS).
You'll need to be comfortable working in a role where priorities can change quickly. From last-minute roster adjustments to unexpected workforce requirements, you'll use your organisation, initiative and problem-solving skills to find practical solutions and keep things moving.
About You
We're looking for senior administration officer who is organised, reliable and detail-focused,
with the confidence to communicate with a range of people across a busy hospital environment with a particular interest in supporting medical staff.
You'll Bring
- Strong administration and organisational skills
- Excellent attention to detail and accuracy
- The ability to prioritise and manage competing demands
- Clear and professional communication skills
- A proactive approach to problem-solving
- The ability to work collaboratively as part of a team
- A willingness to learn new systems, processes and workforce requirements
Previous experience in medical administration or rostering is highly regarded, but it's not essential. If you're an experienced administrator who enjoys variety, takes pride in getting the details right and can stay calm when priorities change, we'd love to hear from you.
Support & Development
You'll Be Supported From Day One With
- Structured onboarding and buddy training
- Hands-on training with experienced team members
- Ongoing guidance from senior administration staff and managers – including the Administration Manager, the Director of Prevocational Education and Training (DPET) and Director of Medical Services (DMS).
- Access to My Health Learning and professional development opportunities
- Networking opportunities with other senior medical administration staff members across Hunter New England Hospitals
This is a outstanding opportunity to develop your skills in medical administration, workforce coordination and hospital operations, with plenty of support as you build your confidence in the role.
Why Join Us?
This is more than a roster coordination role - your work helps ensure the right medical workforce is in place to support the delivery of patient care.
