Taking phone appointments for clients to meet with our financial advisers. Support our Directors and the financial planning staff, by carrying out duties efficiently to achieve the best outcomes for clients and the business. Deliver quality, courteous customer service. The role combines office attendance with working from home.
Key responsibilities
Respond to prospective client enquiries by phone or email and book appointments
Answer calls using the VoIP system, take messages and record appointments in the shared Outlook calendar
Welcome clients courteously at reception
Set up meetings and coordinate with financial advisers
Assist with marketing to aged care facilities and hospitals
Scan and electronically lodge documents and send emails to suppliers and clients
Maintain client files on our CRM system and general office online filing
Meet with clients and their adviser to discuss placement preferences
Search for vacancies using online tools and complete the Aged Care Facility Search form
Assist financial advisers with financial applications, electronic document lodging, client data and input for statements of advice
About you
Excellent verbal communications skills, speaking slowly and clearly to an older demographic of clients and prospective customers
Ability to respond to prospective client enquiries by phone or email
Ability to welcome clients courteously at reception
Ability to maintain client files and general office online filing
Ability to communicate with clients, aged care facilities and hospitals
Ability to maintain regular communication with clients
Ability to keep accurate timesheets and communication logs
