About the role

The Administration Officer is the first point of contact for clients, referrers, and stakeholders. You will provide exceptional customer service while ensuring our clinical team is supported to deliver high-quality care.

Key responsibilities
Welcoming clients with warmth and professionalism
Managing a busy reception environment
Answering incoming calls and responding to emails promptly
Scheduling appointments for multiple clinicians across varied calendars
Providing information to clients, families, schools, GPs, NDIS providers and support coordinators
Maintaining confidentiality and sensitivity at all times
Daily reconciliations, payments, invoicing and receipting
Medicare, DVA, NDIS and private billing processing
Managing referrals, intake forms and client documentation
Liaising with clinicians, referrers and external partners

About you
Warm, friendly and confident in working with people of all ages
Highly organised with strong attention to detail




Able to prioritise tasks in a fast-paced environment
A clear, compassionate communicator
Qualified, reliable and proactive
Comfortable using practice management systems (experience with Best Practice or similar is desirable but not essential)
Experienced in administration or reception—experience in allied health, medical, or psychology settings highly regarded
