Australia

Solid in Australian construction administration, construction software, and real-world builder workflows? Enjoy solving problems, improving processes, and helping others get things done?

TradieVA supports Australian and US builders and contractors by providing skilled virtual assistants. We're looking for a hands-on construction specialist who understands how construction businesses operate and can help our mentors and VAs navigate construction administration, software, and client workflows.

Australia will be your primary focus, but you must be flexible enough to support US clients and other regions as business needs change. This is a practical, hands-on role that combines construction expertise, software troubleshooting, workflow improvement, and knowledge-sharing.

What you'll do

1. Be the Construction Knowledge Expert

- Serve as the primary point of contact for mentors and VAs seeking guidance on construction administration, builder workflows, and industry-specific processes.
- Provide practical guidance on how Australian residential builders manage jobs, documentation, scheduling, estimates, quotes, budgets, supplier coordination, invoicing, and project updates.
- Help mentors and VAs understand not just which tasks to complete, but how and why those tasks fit into a builder's overall workflow.
- Support US construction workflows when needed and adapt your guidance to different client requirements and regional practices.
- Step in to investigate complex construction-related questions and provide clear, actionable solutions.

2. Master Construction Software and Systems

- Develop strong working knowledge of the construction platforms used by our clients, including JobTread, Buildertrend, Buildxact, JackApp,

and other relevant systems.
- Help VAs troubleshoot software issues, understand system workflows, and complete tasks accurately.
- Support client software setup, configuration, workflow mapping, and transitions from existing systems where required.
- Identify gaps in how systems are being used and recommend practical improvements.
- Learn new platforms quickly and translate that knowledge into guidance that mentors and VAs can apply in their daily work.

3. Improve Talent Performance and Resolve Issues

- Investigate client concerns about VA performance, accuracy, communication, or construction workflow knowledge.
- Conduct root cause analysis to determine whether an issue stems from a knowledge gap, a skills gap, unclear instructions, a process issue, or software limitations.
- Develop specific coaching plans and practical corrective actions rather than relying on generic advice.
- Work with mentors to monitor progress, follow up on agreed actions, and confirm whether performance has improved.
- Escalate persistent or complex issues with clear findings, supporting evidence, and recommended next steps.

4. Support Mentors and Develop Training Resources

- Equip mentors with practical construction knowledge, software guidance, and examples they can use when coaching their assigned VAs.

- Create and maintain SOPs, checklists, workflow guides, troubleshooting resources, and short training materials.
- Turn recurring client issues and questions into reusable learning resources.
- Help standardise construction-related guidance across the team while allowing for differences between clients, software platforms, and regions.
- Collaborate with the Talent Success and Mentorship & Onboarding teams to improve the quality and consistency of VA support.
- Identify recurring errors, workflow inefficiencies, and knowledge gaps across construction placements.
- Recommend improvements based on actual client requirements, observed performance, and supporting data.
- Help implement updated processes and ensure mentors and VAs understand and follow them.
- Manage competing priorities by assessing urgency, business impact, and client risk.
- Provide regular updates on recurring issues, improvements implemented, and outstanding concerns.

What we're looking for

- At least 5 years of relevant construction administration or operations experience, ideally supporting residential builders, contractors, or construction businesses. Candidates with less experience may be considered if they demonstrate exceptional depth across multiple clients, systems, and construction workflows.
- Strong practical understanding of Australian residential construction processes, with the ability to support US workflows when required.
- Hands‑on experience with construction management software such as JobTread, Buildertrend, Buildxact, JackApp, Jobber, or comparable platforms.
- Demonstrated ability to explain construction processes
