Second in Charge — Healthcare Operations

Bring your initiative, lead by example and grow with our organisation.

Are you the person who notices what needs doing, steps forward and follows it through? Do you enjoy helping a team succeed and feel excited by the opportunity to improve how a business operates?

Medsana and My Rehab Team are seeking a motivated Second in Charge (2IC) to work alongside our Practice Manager and Director, supporting daily operations across our general practice and multidisciplinary allied health services.

This opportunity would suit an experienced healthcare administrator, team leader or assistant practice manager who is ready for broader responsibility and wants to build a future with our organisation.

About us

Medsana Medical Clinic and My Rehab Team deliver general practice, allied health, mobile rehabilitation and support services across Brisbane.

Our work supports people across different life stages, including people with disability, older people and their families. We value commitment, compassion and clinical excellence, and our operational team plays an essential role in helping clinicians provide safe, person-centred care.

Based at our Eight Mile Plains facility, you will work with administrative staff, GPs, nurses, allied health professionals and team leaders.

The opportunity

You will help keep daily operations organised while contributing to improvements in our systems, services and team capability.

We are looking for someone who sees the potential in our organisation and wants to contribute to its next stage. You enjoy learning, welcome challenges and approach new ideas with a practical “How can we make this work?” attitude.

You also understand that leadership involves working alongside others. You are willing to step into difficult, demanding or less appealing tasks, demonstrate how to do them well and help colleagues develop the confidence to do the same.

What you will do

Your responsibilities will include:

- Coordinate daily administrative workflows, staff support and operational priorities across Medsana and My Rehab Team.

- Guide and support reception and administrative staff, including onboarding, training, rostering support and leave coverage.

- Support billing, invoicing, debtors, reconciliation and other financial administration.

- Understand relevant compliance requirements and translate them into clear procedures, practical actions and consistent daily work.

- Assist with accreditation, risk registers, staff credentialing, training records and quality improvement activities.

- Coordinate complaints, incidents and follow-up actions, escalating matters appropriately.

- Identify bottlenecks, suggest improvements and help staff adopt new systems and processes.

- Support referral management, appointment coordination and communication with patients, families, clinicians and service partners.

- Assist with reception duties during staff shortages and travel to satellite locations where required.

An important early priority

We are seeking someone to commence in November or December 2026, with a structured handover from our current 2IC. The handover will establish key processes, deadlines, decision limits and escalation arrangements.

About you

You will bring relevant experience and a robust desire to keep developing. You may already hold a leadership position, or you may be a capable senior administrator who has demonstrated readiness to step up.

You are someone who:

- Welcomes growth and change: sees opportunities and helps turn ideas into workable actions.

- Embraces challenges: approaches unfamiliar situations with curiosity, seeks support when needed and persists through setbacks.

- Takes ownership: acts on priorities and follows through without repeated prompting.

- Leads by example: is willing and able to do the work of those you lead, within your training and responsibilities.

- Supports others: communicates respectfully, shares knowledge and helps colleagues improve.

- Applies compliance:

understands why requirements matter and can put them into practice.

- Uses sound judgement: knows when to act independently and when to escalate.

- Delivers accurately: stays organised, checks details and handles confidential information with discretion.

Experience and skills

We would value experience in healthcare administration, practice operations or team coordination, particularly in general practice, allied health, disability or aged care services.

Useful experience includes:

- Guiding, training or supervising colleagues.

- Payroll, billing, invoicing, debtor management or reconciliation.

- Implementing procedures, maintaining compliance records or supporting accreditation.

- Managing competing priorities and communicating with a range of stakeholders.

- Learning and using practice management, finance and rostering systems.

Experience with Best Practice, Halaxy, Xero, Cubiko or RosterElf would be helpful. You do not need experience with every system or funding stream, but you will need strong computer skills and a willingness to learn.

Why join us?

- Work closely with the Practice Manager and Director and contribute ideas that influence how the organisation operates.

- Develop your leadership and operational skills across general practice and allied health.

- Take on varied, meaningful responsibilities with opportunities to demonstrate your capability.

- Join a multidisciplinary team whose work makes a practical difference to patients, clients and families.

- Build your career with an organisation where initiative, reliable delivery and a willingness to learn are valued.

How to apply

Please submit your résumé and a short cover letter telling us:

- Why this opportunity interests you and what you would bring to the role.

- One example of a challenge you took ownership of, an improvement you helped implement, or a time you led by example.

- Your availability to commence and preferred working hours.

For questions or to find out more, please contact Ashlee (Practice and Human Resource Manager) on ••••@medsana.com.au.

We would love to hear how you could help our team and grow with Medsana and My Rehab Team.
