Are you the person who notices what needs doing and gets it moving?

We’re looking for a warm, capable and highly organised Client Services & Practice Coordinator to join our psychology practice in Sherwood.

This is more than a reception role.

You’ll be an important part of keeping the practice running well, creating a great experience for our clients, supporting our clinicians, coordinating with our virtual administration team and making sure things don’t fall through the gaps.

Some days will be predictable. Others might involve moving between a client enquiry, a booking issue, a clinician request, billing, a referrer email and troubleshooting a system.

You’ll need to be someone who can switch gears, work out what matters most and keep track of what needs to happen next.

- Managing enquiries, bookings, referrals, intake processes and payments
- Keeping day-to-day administrative workflows moving
- Supporting clinicians with practical administrative needs
- Coordinating effectively with our virtual administration team
- Working confidently across Cliniko and other digital systems
- Maintaining accurate client and practice information
- Following up outstanding tasks and seeing them through to completion




- Identifying gaps, recurring problems and opportunities to improve our systems and processes

We’re particularly looking for someone who combines warmth with competence.

You care about the person contacting the practice and whether the systems behind their experience are working properly.

What you’ll bring

Experience in psychology, medical or allied health administration would be highly regarded, particularly experience with Medicare, private billing and practice management software such as Cliniko.

We’re also open to applicants from other customer-focused environments who can demonstrate strong organisation, initiative and systems capability.
