This established and growing building services contractor delivers reactive service, maintenance and minor works across a diverse client portfolio. Due to continued growth, they are seeking an experienced Service Coordinator to support their technicians, clients, suppliers and internal teams. The business offers a fast-paced and collaborative environment where you will have genuine ownership of service operations and the opportunity to help improve processes as the company continues to grow. Your new role

As an HVAC Service Coordinator, you will manage the day-to-day coordination and administration of service operations. Acting as the central link between clients, technicians, suppliers and internal departments, you will ensure jobs are scheduled, documented and completed accurately before invoicing. Working within Simpro, your responsibilities will include:

- Receiving client service requests and managing service enquiries
- Scheduling technicians across reactive service calls, planned maintenance and defect works
- Setting up customers, service jobs and small works in Simpro
- Rescheduling jobs according to priority and operational requirements
- Preparing and following up quotes for service work and minor projects
- Ordering materials and scheduling works once parts have been received
- Managing purchase orders and following up outstanding client POs
- Reviewing service reports to ensure they are accurate, complete and ready for invoicing
- Coordinating client documentation, including SWMS and site access information
- Monitoring subcontractor insurance and compliance documentation
- Reconciling technician timesheets and allocating hours to the correct jobs
- Supporting Accounts with invoicing and payment-related enquiries
- Identifying opportunities to improve systems, procedures and service delivery





The position plays an important role in ensuring service jobs move efficiently from the initial client request through to completion and invoicingWhat you'll need to succeed

To be successful in this position, you will ideally have previous experience in service coordination, maintenance administration, facilities services or a similar contractor environment. You will also bring:

- Strong experience scheduling field technicians or tradespeople
- Previous exposure to Simpro or a comparable job management system
- Excellent organisational and time-management skills
- Strong attention to detail across job documentation and invoicing requirements
- Confidence communicating with clients, suppliers, technicians and internal stakeholders
- Experience coordinating materials, purchase orders and service documentation
- The ability to manage multiple priorities in a busy service environment
- A practical, solutions-focused approach
- The ability to work independently while contributing to a wider team
- A flexible and adaptable attitude as the business continues to develop

Direct Simpro experience would be highly regarded. What you'll get in return
