Investigate the roadblocks. Recover outstanding rebates. Make an impact.
Are you a detail-focused professional who enjoys investigating outstanding claims, solving problems and getting results?
At Smart Energy, we’re helping Australians unlock their home’s potential through solar, batteries, hot water heat pumps, EV chargers and more.
We’re looking for a Rebate Recovery Officer to join our Sydney office in Waterloo, taking ownership of outstanding rebate claims and helping turn completed installations into successfully recovered funds.
If you have experience in rebate processing, claims management, accounts receivable or credit control- and enjoy digging into the details - we’d love to hear from you.
The Opportunity
Reporting to the Collections Manager, you will be responsible for the successful lodgement of rebate claims, working closely with Finance, Operations, Sales, IT and relevant external parties to identify and resolve discrepancies, streamline processes, expedite claim submissions and ensure accurate reconciliation of rebate claims.
You’ll work closely with installers, rebate processing partners and our internal teams to obtain missing documentation, resolve discrepancies and progress aged or disputed claims.
Using Xero, Airtable, Formbay and Salesforce, you’ll help maintain an accurate picture of claim status, outstanding balances and recovery performance. You’ll also identify practical improvements that reduce delays, strengthen controls and prevent outstanding claims from building up.
This role combines hands-on follow-up, financial reconciliation,
data analysis and stakeholder coordination in a growing home electrification business.
What You’ll Do:
Own rebate recovery
- Manage the successful lodgement of rebate claims, including outstanding, aged, stalled and disputed claims, from investigation through to resolution.
- Prioritise follow-up based on claim age, value, compliance requirements and likelihood of recovery.
- Contact installers, rebate processing partners and relevant internal teams to progress outstanding items.
- Obtain missing documentation, clarify claim requirements and coordinate corrections or resubmissions.
- Escalate claims at risk of rejection, expiry or non-recovery, with clear recommendations for action.
Investigate and reconcile
- Review claim records, supporting documents and financial transactions to identify why rebates remain unpaid.
- Reconcile rebate balances, payments and adjustments between provider and internal systems
- Investigate data mismatches, incomplete submissions, disputed amounts and processing errors.
- Maintain accurate records of claim status, follow-up activity, next steps and expected recovery dates.
Turn data into action
- Maintain clear reporting on outstanding claims, ageing, recovery timelines and unresolved issues.
- Use Excel or Google Sheets to analyse data, identify trends and highlight recovery risks.
- Provide the Collections Manager with accurate updates on recoveries, outstanding exposure and priority escalations.
- Identify recurring causes of delays and recommend practical solutions.
Improve processes and controls
- Work with Operations, Finance, Sales and installation teams to improve claim quality and processing workflows.
- Help document procedures, ownership and escalation pathways.
- Identify opportunities to reduce manual work, improve data accuracy and prevent repeat errors.
- Keep claim documentation and recovery records complete, organised and ready for audit.
- Follow internal policies and the applicable requirements of each rebate program.
You Must Have
At least two years’ relevant experience in rebate processing or recovery, claims management, accounts receivable, credit control or financial operations.
- Experience investigating outstanding claims, payment discrepancies or overdue balances and following them through to resolution.
- Strong reconciliation skills and confidence working with financial and operational data.
- Intermediate to advanced Excel or Google Sheets skills, including lookups, pivot tables, filtering and data reconciliation.
- Explicit, confident communication skills, with the ability to follow up persistently and professionally.

- A practical approach to problem-solving and an interest in improving processes.
- The ability to work on-site at our Waterloo, Sydney office.
