Understand how complex projects run, but ready to step away from drafting and design? This could be the role.
An award-winning, internationally recognised design consultancy is looking for a Project Coordinator to join its Melbourne studio. With a busy pipeline of healthcare projects, where attention to detail and explicit communication with demanding clients are essential, this is a specialist coordination role for someone who knows the built environment and wants to apply that knowledge in a different way.
The opportunity
You’ll be embedded on projects, supporting a Project Director by managing project information, communications and workflow across a portfolio of long-running, deadline-driven projects. Project Directors keep decision-making responsibility. You’ll keep information organised, actions moving and deadlines visible so they can focus on leading the work.
You’ll work closely with Project Directors, design teams and clients, and report to a Practice Principal who manages the studio. Training, documented processes and ongoing support will help you build your coordination skills from day one, and you’ll take increasing ownership as your confidence grows.
This is a specialist role with real responsibility and exposure to large-scale public and PPP-style projects.
What you’ll do
- Manage incoming project communications and organise information across multiple healthcare projects
- Maintain project trackers, monitor deadlines and flag emerging issues to Project Directors
- Review incoming documentation,
identify what’s relevant and seek guidance on next steps
- Coordinate actions from client meetings through the studio and follow up with the right people
- Attend client meetings with Project Director support and make sure agreed actions are captured and progressed
- Prompt Project Directors on deadlines, meetings and preparation as your ownership grows
What you’ll bring
- Around 3–4 years’ local industry experience in the built environment, such as architecture, interior design, design coordination or document control. Direct project coordination experience is not required, but you must understand how projects run and what to look for.
- An understanding of the complexities of large-scale, deadline-driven public or PPP projects, and a desire to work in an AEC project-focused role rather than as a designer, architect or drafter
- Confidence in stakeholder and client-facing situations, with no hesitation in following up, asking questions or holding the line
- Excellent organisation and attention to detail, with the ability to handle large volumes of project information
- Sound judgement: you can separate what matters from what doesn’t and spot gaps early
- Resilience in a deadline-driven environment and the composure to handle demanding interactions
What’s on offer
- $80,000 plus superannuation
- Hybrid work: 4 days in the Melbourne studio, 1 day WFH (Wednesday)
- Meaningful work on healthcare projects that shape how people experience the spaces they use
- Structured training, documented processes and ongoing support
- A collaborative, high-performance culture built on respect and flexibility
How to apply
We’re looking for someone with AEC industry experience who has thrived in a fast-paced project environment, where being exceptionally organised wasn’t optional. If you don’t have direct project coordination experience but can show that you’re detail-oriented and resilient under tight project timelines, we want to hear from you.
We’d love you to include a cover letter that tells us about:
- A fast-paced project where your organisation and attention to detail made a difference
- How you’ve stayed resilient and effective through an intense project timeline
- Why you want to move into a project coordination role
A cover letter helps us understand your story, so we’d encourage you to include one. We’re moving quickly, so please contact Stephanie Gleeson for a confidential conversation.
