Our client is an established business delivering major infrastructure projects across Queensland. With new projects commencing and ongoing project demands, they are looking for an experienced administrator who can provide essential support across purchase orders, document control, subcontractor compliance and general project coordination.

This is an excellent opportunity for someone who enjoys working in a fast-paced operational workplace, takes pride in their attention to detail and can confidently manage competing priorities. The role offers a combination of depot-based administration, occasional site visits and flexibility to work from home on agreed days.

This is a varied, hands-on administrative role where you will work closely with project managers, construction managers, supervisors, subcontractors and suppliers to help keep projects running efficiently. You will need to be comfortable working autonomously, taking initiative and following tasks through to completion.

Key Responsibilities

- Raising, tracking and reconciling purchase orders using the Ariba system.

- Processing invoices and maintaining accurate spreadsheets for deliveries, project costs and reporting.

- Managing project documentation, including scanning, filing, uploading and maintaining records.

- Coordinating subcontractor compliance documentation, including tickets, qualifications, inductions and SWMS.

- Providing administrative support for safety, health, environment and quality (SHEQ) requirements.

- Liaising with suppliers to source information, obtain quotes and arrange purchase orders.

- Coordinating travel, accommodation,

vehicle hire and mobilisation requirements for project personnel.

- Supporting employee and subcontractor onboarding, mobilisation and site induction processes.

- Maintaining project registers, trackers and filing systems to ensure information is accurate and up to date.

- Liaising with site personnel and project stakeholders to support day-to-day project delivery.

What You Bring to the Role

- Project Administration Experience: Previous experience in a Project Administrator, Site Administrator or similar project support role.

- Industry Experience: Background in construction, infrastructure, utilities, energy or mining is highly regarded. Candidates with strong administrative experience in other fast-paced industries will also be considered.

- Strong Computer Skills: Confident using Microsoft Office, particularly Excel, Word and Outlook, with the ability to maintain spreadsheets and tracking documents.

- Attention to Detail: Highly organised with the ability to maintain accurate records, manage documentation and meet deadlines.

- Initiative and Problem-Solving: Proactive, resourceful and comfortable working independently, making decisions and finding solutions when required.

- Communication Skills: Confident communicating with project teams, subcontractors, suppliers and other stakeholders in a busy operational environment.

- Adaptability: Able to manage competing priorities and remain composed in a fast-paced, sometimes high-pressure environment.

- Ariba Experience:

Familiarity with the Ariba purchase order system is advantageous, although training can be provided to someone with strong computer skills.

- Availability: Able to commence around the week of 9 November 2026 and commit to the initial contract through to late April 2027

What’s on Offer?

- $42.00 – $48.00 per hour + superannuation, depending on experience.

- Monday to Friday, full-time hours of approximately 7.6–8 hours per day.

- Flexible start and finish times to suit the right candidate.

- A hybrid working arrangement, combining depot-based work, agreed work-from-home days and occasional site visits.

- Exposure to major construction and infrastructure projects across Queensland.

- Company vehicle provided for required site travel, with travel-related accommodation and reasonable expenses generally covered where applicable.

- Potential for contract extension or longer-term opportunities as further projects commence.

- An opportunity to work closely with experienced project and construction teams.
