City Toyota is seeking a Motor Vehicle Licensing and Administration Officer (Entry Level) to join our administrative team in Northbridge, WA. This is a full-time position that plays a crucial role in ensuring the smooth operation of our dealership by managing vehicle licensing, registration documentation, and administrative processes. You will be responsible for maintaining accurate records, liaising with regulatory authorities, and supporting the sales and management teams with essential administrative support. Key responsibilities
- Processing and submitting vehicle registration and licensing documentation to the relevant regulatory authorities
- Maintaining accurate and up-to-date records of all vehicle licenses, registrations, and compliance documentation
- Liaising with sales staff, and regulatory bodies to ensure timely completion of licensing procedures
- Verifying customer documentation and ensuring all requirements are met before submission
- Managing administrative tasks including filing, data entry, and correspondence relating to vehicle administration
- Tracking deadlines and renewal dates to ensure no licensing or compliance issues arise
- Assisting with general administrative duties to support the wider dealership operations
- Contributing to the maintenance of compliance with relevant legislation and dealership policies
What we're looking for
- Strong organisational and attention to detail skills with the ability to manage multiple administrative tasks simultaneously
- Proficiency in using computer systems and office software, including Microsoft Office applications
- Excellent written and verbal communication skills with the ability to interact professionally with customers and external stakeholders
- A thorough understanding of or willingness to quickly learn motor vehicle licensing and registration requirements in Western Australia
- Ability to work independently and as part of a team in a fast-paced environment
- Reliable and professional approach with a commitment to accuracy and compliance
- Customer service experience or demonstrable ability to work effectively with customers
- A current driver's licence is desirable
- Year 12 or equivalent education, or relevant administrative experience
