About Subiaco Medical Collective

We chose the name “Collective” because we recognise that no one person can meet every need. Instead, we’ve built a team who share the same values and work towards the same goal: Care. Compassion. Community.

We’re a medical centre focused on quality care, strong professional relationships and creating a workplace where people genuinely enjoy working together. We believe good healthcare starts with good people, and that a supportive team environment ultimately benefits our patients, too.

Our GPs bring general practice, skin cancer medicine, minor procedures and musculoskeletal care together under one roof. We’re starting with a small, experienced team and a clear plan to grow, alongside our sister practice in Eglinton as part of the wider Medical Collective family.

What that looks like day to day:

- Reception is the heart of the practice. You’re the first voice and face our patients meet. We want everyone who contacts us to feel welcomed, listened to and supported.
- Unhurried care, calm days. Our doctors take the time patients need, and we build our systems to protect our team’s time, too.
- Help build something from the ground up. Your ideas will be heard and you’ll have the opportunity to help shape how the practice operates.
- Kindness and respect as standard, towards patients and colleagues alike.
- Weekday hours. Monday to Friday, 8 am to 5 pm, with weekends and public holidays off.
- A workplace with character. A light-filled heritage building in Subiaco, with reception beneath the original fireplace.

Your Responsibilities

Your day-to-day responsibilities will include:

- Managing patient appointments, registrations and enquiries.
- Answering calls and communicating with patients professionally and courteously.
- Processing payments and assisting with billing administration.
- Maintaining accurate patient records and clinical correspondence.
- Supporting doctors with administrative tasks and daily practice operations.
- Protecting patient confidentiality and handling sensitive information appropriately.
- Identifying practical ways to improve workflows and keep the practice running smoothly.

You’ll need to be comfortable managing competing priorities, working independently and knowing when to ask for help. No two days are necessarily the same, so flexibility and a willingness to pitch in are significant.

What We're Looking For

Essential

- Strong verbal and written communication skills.
- Good organisational skills and attention to detail.
- Confidence using computers and learning new software.
- A professional, approachable manner and the ability to communicate with diverse people.
- Initiative, reliability and the ability to work independently and as part of a team.
- An understanding of confidentiality and professional boundaries.

Desirable

- Experience in medical reception or healthcare administration.

- Familiarity with Best Practice, Medicare billing and medical terminology.

Medical reception experience is an advantage, but we also welcome applicants from customer service, hospitality or administration who have the right skills and attitude. Training and support will be provided where appropriate.

The Culture

We value consideration, consistency and open, respectful communication. We want people to feel comfortable asking questions, sharing ideas and raising concerns constructively.

We’re intentional about the culture we’re building and value people who take responsibility, are self-aware, welcome feedback and are willing to learn.

We also recognise that work is only one part of life. We believe in reciprocal leave coverage and supporting one another, building a team that takes pride in its work and understands that good working relationships go both ways.

What We Offer

- Casual or part-time employment, with 2–3 days available per week.
- A supportive team and a considered approach to workplace culture.
- Opportunities to develop your skills in medical administration and practice operations.
- A workplace where initiative is welcomed and your contribution is valued.
