About the role

Reporting directly to the Managing Director and working closely with our Sales and Workshop Leads, the Sales & Operations Coordinator is the central link connecting our clients, field operations, workshop fitters, and accounts department. This is a dynamic, high-impact position where no two days are the same. You will oversee the hire process from initial customer inquiry and contract generation through to equipment dispatch, tracking sheets, and invoice readiness.

Key responsibilities

- Prepare formal equipment hire quotes, master agreements, and rate schedules for dry-hire equipment (generators, compressors, scissor lifts, fuel pods)

- Ensure customer agreements, usage conditions, and site-specific entry requirements comply with Kirbtech's commercial terms

- Liaise daily with the Workshop Supervisor and Fitters to track machine availability, service turnarounds, and pre-mobilisation readiness

- Oversee machine running hours, daily record sheets, and customer service notifications to ensure equipment maintenance intervals are strictly adhered to

- Coordinate completed job cards, signed delivery dockets, and work orders to ensure seamless billing cycles with Accounts

- Actively drive task accountability and weekly job scheduling using Monday.com and internal operating systems

About you

- 2+ years experience in equipment hire coordination, mining services administration, transport logistics, or workshop operations support





- Proven capability in preparing commercial quotes, customer contracts, and hire documentation

- Strong digital proficiency with task management systems (Monday.com or equivalent ERP/CRM tools) and standard MS Office applications

- Excellent verbal and written communication skills with the confidence to liaise effectively between trades fitters, site project managers, and commercial stakeholders

- Sharp attention to detail, strong problem-solving skills, and a proactive mindset

- Current Queensland C-Class Driver's Licence
