About the role

The Client Services Officer - Scheduling is responsible for the efficient coordination, scheduling and delivery of community transport services for older people, people with disability, carers and other eligible community members. As the primary scheduler, this position ensures that transport services are planned and delivered in a safe, efficient and client-focused manner. The role balances client needs, vehicle availability, driver resources, geographic considerations and service priorities to maximise service capacity while maintaining high customer service standards.

Key responsibilities

- Coordinate daily transport schedules across all service streams

- Allocate transport requests to appropriate vehicles and drivers

- Maximise vehicle occupancy and route efficiency

- Monitor service delivery and respond to schedule changes

- Monitor transport bookings, cancellations and amendments

- Develop and distribute daily runsheets and ensure TRIPS app reflects the RUN, specifically where there is individual client need

- Respond to client enquiries and transport requests

- Assess eligibility and service requirements

- Maintain accurate client and scheduling records

- Enter and update information in transport management systems

About you





- A tertiary qualification or equivalent experience or qualifications relevant to transport scheduling, customer service or community services

- Demonstrated experience in transport scheduling, rostering, logistics coordination, client services or administration in a community, health, aged care or transport environment

- Comfortable with various standard and service specific technology suites, like Microsoft 365, Employment Hero, TRIPS transport software, Xero

- National Criminal History check clearance

- National Working with Children Check clearance

- National Disability Worker Screening clearance

- Current NSW Driver Licence

- Solid knowledge of the Hornsby / Kur ing gai region, including suburbs, road networks, major medical facilities, shopping centres and community destinations
